Specialty Leasing & Events Coordinator
This role requires a highly motivated individual to provide day-to-day administrative, operational, and coordination support to the Specialty Leasing & Events Manager. This role helps execute specialty leasing deals, sponsorship agreements, and on-property events by managing documentation, scheduling, vendor coordination, reporting, and tenant communication. The Coordinator ensures deals and activations move efficiently from planning through execution and that all supporting records, budgets, and reporting are accurate and up to date.

You will be responsible for
Specialty Leasing & Ancillary Income Support
- Assist in sourcing and tracking prospective specialty tenants, brand concepts, and pop-up opportunities; maintain an organized pipeline and prospect database.
- Prepare specialty leasing licenses/agreements and supporting documents for review, tracking redlines, approvals, and signature status.
- Coordinate with legal and property management to collect and verify insurance certificates, permits, and compliance documents for specialty tenants.
- Support scheduling and logistics for the placement and rotation of carts, kiosks, and temporary units, coordinating with operations and visual merchandising.
- Maintain specialty leasing trackers, revenue reports, and occupancy data against budget; prepare regular status updates for the Manager.
Media & Sponsorship Sales Support
- Maintain records of media and sponsorship agreements, renewal dates, and inventory (signage, digital displays, branded placements).
- Assist with preparing sponsorship proposals, media kits, and rate cards for prospective advertisers and agencies.
- Track installation and removal schedules for sponsorship placements and confirm compliance with brand standards and tenant exclusivities.
Events & Placemaking Support
- Assist in planning and coordinating the on-property events calendar, including vendor bookings, permits, and site logistics.
- Manage event budgets, purchase orders, and invoices, and reconcile actual spend against approved budgets.
- Coordinate with security, operations, and tenants on event setup, access, and safety requirements.
- Support day-of event execution, including vendor check-in, signage placement, and troubleshooting on-site issues.
- Collect and compile post-event data (attendance, engagement, tenant feedback) to support performance reporting.
Administrative & Cross-Functional Support
- Maintain organized digital files for specialty leasing, sponsorship, and events documentation, contracts, and correspondence.
- Prepare reports, presentations, and briefing materials for leasing, marketing, property management, and ownership/asset management.
- Coordinate meetings, calendars, and follow-ups between the Manager and internal/external stakeholders.
- Support general marketing collateral updates, tenant directories, and internal communications as needed.
Qualifications
- Bachelor's degree in Business, Marketing, Real Estate, or related field preferred; equivalent experience considered.
- 2–4 years of experience in retail leasing, marketing coordination, event support, or commercial real estate administration.
- Strong organizational and multitasking skills, with the ability to manage multiple deals, vendors, and deadlines simultaneously.
- Working knowledge of lease/license agreements and basic contract terminology an asset.
- Proficiency in MS Office (especially Excel and PowerPoint); familiarity with property management or CRM software a plus.
- Strong written and verbal communication skills, with a professional, service-oriented approach to tenant and vendor relationships.
- Comfortable working on-site during events, including some evenings and weekends as required.
