Job Description
The Executive Assistant provides administrative support to the Chief Executive Officer and Chief Financial Officer of Sunshine Village, while maintaining a high standard of professionalism, confidentiality, and teamwork. This role at times will oversee projects and requirements related to office administration, from building enhancements to maintenance through qualified sub-contractors and internal departmental resources, primarily at the Calgary Snow Central office.
The Executive Assistant and Project Coordinator reports to the CEO and CFO, respectively; and frequently liaises with the Calgary Snow Central and Executive Office on-mountain departments.
Job Functions
Primary Administrative and Reporting Responsibilities:
- Perform a broad range of administrative duties with minimal supervision.
- Managing the influx of emails and messaging for Executives and prioritizing items for follow-up.
- Maintain Executives’ calendars, arrange meetings and appointments, coordinate company perquisites as allocated by the CEO, coordinate travel arrangements for functions, conferences, additional obligations.
- Attend meetings (e.g. Board, Executive, Management, Project Committees) and take minutes as needed.
- Draft, compose and edit a variety of correspondence for signature, and prepare presentations.
- Prepare expense reports, purchase orders, and disbursement requisitions.
- Interact with senior level individuals including Executives, Managers, Consultants, and Suppliers.
- Handle and perform a variety of confidential duties.
- Organize and maintain files (online and physical documentation).
Office Responsibilities – Calgary Sales Office:
- Perform scheduled office inspections for safety, potential maintenance and/or enhancements.
- Complete and organize required documentation for City of Calgary, permits, business licence, etc.
- Collect competitive bids and quotes for office projects from various qualified sub-contractors.
- Monitor and communicate safety requirements for projects and coordinate contractor documentation.
- Communicate project ideas and plans effectively and efficiently with all involved internal departments and sub-contractors and help identify responsibilities as appropriate.
- Monitor and manage performance of sub-contractors and internal departments on projects as necessary.
- Perform ‘one-off’ office projects e.g., Christmas arrangements, holiday lighting, Canada Day décor, through qualified third parties and departmental resources.
- Work with, and contribute to, the overall functions of the office, including assisting with guest interactions, communications, marketing, events, and seasonal sales initiatives, when requested.
General:
- Maintain positive relationships with internal, external stakeholders, contractors and consultants.
- Be a professional and diplomatic representative for CEO & Calgary office on mountain.
- Attend office management and safety meetings and be involved as needed.
- Provide overall support to successful Calgary Sales Office operation.
- Behave in alignment with Sunshine Vision, Mission and Goals.
- Be flexible, successful at multi-tasking, and responsive to changing priorities and short-order requests.
This is a flexible, dynamic role without set days or hours - additional duties may be requested from time to time.
Experience/Requirements
- Completion of a post secondary degree, certificate, or training program – a combination of relevant experience will also be considered.
- Previous experience in an administrative assistant role is preferred.
- Excellent interpersonal and communication skills.
- Advanced knowledge of and experience working with Microsoft Office suite of products (Word, Excel, PowerPoint and Outlook) and intermediate level of keyboarding skills are required.
- Superior organizational, coordination and multi-tasking skills.
- Must be neat, dependable and punctual.
- Proven ability with sound judgment and high confidentiality.
- Thoroughness, accuracy, and professionalism are essential.
- Prepared to work flexible schedule (overtime, evening and weekends when required).
- Occasional travel to Sunshine Village Ski and Snowboard Resort in Banff and other locations is required. Candidates are required to have a valid AB driver’s licence, be able to present a clear and current driving abstract, and have access to personal transportation.
- Additional Considerations
- Employees must always be of sound mind, exhibit good judgment, and report to work fit for duty.
- This role must maintain a high standard of professional conduct at all times, particularly when in uniform and knowingly acting as a company representative.
- This is primarily an indoor role, however Sunshine Village Ski and Snowboard Resort is located in a remote, alpine environment. Preparedness to work outdoors is essential.
- A business casual/professional wardrobe is required.
This role is subject to all terms and conditions of the Sunshine Village Employee Handbook and Policy Manual, and the Alberta Employment Standards Code.
