This role is Senior Executive Assistant to the Group Head LCR and General Counsel. The LCR (Legal, Compliance and Regulatory) group provides critical support to Interac’s business units and promotes strategies that contribute to the success of our organization. We are looking for an organized, efficient self-starter with the ability to effectively prioritize and operate in a fast-paced, ambiguous environment. You are a masterful problem-solver, enjoy being highly organized and have exceptional communication skills across all mediums. You also have an excellent ability to build and maintain business relationships are an effective collaborator and help drive accountability.

You’ll be responsible for:

  • Calendar & Meeting Coordination: Manage the Group Head’s day-to-day calendar and activities, ensuring optimal scheduling for internal and external priorities. Anticipate needs and proactively adjust schedules in a fast-paced environment, often collaborating with the other Senior EAs.
  • Professional Obligations: In supporting the Group Head, you will actively manage tracking of Group Head professional education opportunities, requirements, and reporting.
  • Milestones/Deadlines: Track key milestones and deadlines for the Group Head, ensure that the Group Head is briefed on upcoming deadlines and decisions and help maintain the timing of routine meetings and ensure pre-read materials are easily accessible. Also, actively track/manage action items from meetings.
  • Board Stakeholder Management: Act as a liaison with the Board of Directors and, in collaboration with the Corporate Secretariat, schedule board and committee meetings and other conversations with Directors.
  • Board/Committee Meetings: Ensure smooth logistics for Board and Committee meetings including invitations, meeting rooms and refreshments.
  • Documentation & Presentations: Assist in preparing detailed documentation, decks, presentations, and internal reports. Ensure all communication is clear and well-organized.
  • Event & Meeting Planning: Organize internal team meetings, presentations and events. Coordinate logistics, prepare agendas, and follow up on action items.
  • Data & Metrics Tracking: Support the LCR Strategy & Operations Leader with budgeting work, tracking metrics, gathering feedback and generating reports to inform decisions.
  • Communication & Correspondence: Handle day-to-day correspondence on behalf of the Group Head, including mass emails, meeting requests, and follow-ups. Ensure that communications are timely, professional, and reflect Interac’s objectives.
  • Travel & Expense Management: Arrange travel for the Group Head, manage budgets, and process expense reports, ensuring expenses are within guidelines.
  • Proactive Problem-Solving: Anticipate the needs of the Group Head, organization and Board members, identifying and solving potential issues before they arise.
  • Strategic Support: Provide high-level assistance to the LCR Strategy & Operations Leader in business decision-making by preparing for strategy sessions and contributing insights to key business initiatives.
  • Confidentiality and Discretion: Handle sensitive information and communications with utmost confidentiality and professionalism.
  • Tech-Savvy: Proficiency in executive scheduling tools, data management systems, and advanced MS Office skills.
  • Strong Written and Verbal Communication: Excellent communication skills, with the ability to represent the executive effectively in all internal and external correspondence.
  • Cultural Fit and Representation: Embody and promote the company’s values, acting as an ambassador for the Group Head within the organization and externally.
  • Adaptability: Thrive in a fast-paced, product-driven company where priorities may shift rapidly, requiring quick thinking and flexibility.

You bring:

  • A minimum of 10+ years as an executive assistant/administrator and/or Business Manager to an executive.
  • Strong analytical and problem-solving skills and an ability to present clear, concise, and effective solutions.
  • Critical thinking, problem solving and analytic skills, relying on experience and judgment to plan and accomplish goals.
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook, Teams).
  • Proficiency in project management/contract management tools with the ability to manage both day-to-day tasks and long-term strategic projects ensuring smooth coordination and timely execution.
  • Strong communication skills, both verbal and written, with the ability to collaborate and build strong relationships with key stakeholders.
  • Ability to quickly learn and understand complex product-related terminology, features and systems.
  • Meticulous attention to detail and excellent time management and organizational skills and ability to prioritize.
  • Expertise in social media and collaboration tools like LinkedIn.
  • The ability to handle stressful situations with measured calmness and decisiveness.
  • Exceptional common sense, maturity, discretion, and the ability to maintain confidentiality.
  • Ability to remain calm under pressure and make quick, effective decisions in high-stress or urgent situations, ensuring seamless operations during unexpected challenges.
  • Experience dealing with Board directors is an asset.
  • Eligibility to work for Interac Corp. in Canada in a full-time capacity.
