ABOUT THE ROLE
Reporting to the Supervisor, Paramedic Scheduling and Timekeeping and under the guidance and direction of the Team Lead Scheduling and Timekeeping, this position is responsible for scheduling many staff across various scheduling patterns, shifts and locations. Responsible for timekeeping for all paramedic services staff, data recording and reporting, and effectively utilizing the computerized scheduling and timekeeping software along with other technology.
WHAT YOU'LL BE DOING
- Schedules, confirms, and verifies the daily, weekly and monthly scheduling of all PS staff across multiple scheduling patterns, platoons, and shifts to ensure efficient operations.
- Assigns staff in order to maintain daily operations, provide coverage for special events and special operation units, attend training or participate in professional development, and provide extra staffing in the event of a disaster or contingency situation.
- Manages the allocation of staff resources, including documentation, record keeping, and data entry using timekeeping software, scheduling software and Microsoft Office applications.
- Performs regularly scheduled data maintenance procedures.
- Processes bi-weekly time entry lists, ensuring accuracy of information by reviewing data received, verifies and processes leave codes and planned time off data including overtime, statutory holiday pay, as provided by the Payroll Division, and on-call/standby submissions.
- Updates computerized scheduling software on staffing schedule with information to new hires, terminations, and leaves of absence for Supervisors approval.
- Assists the Supervisor and Team Lead in preparing performance reports related to operational scheduling and timekeeping.
- Provides statistics on availability of casual staff and communicates instances of non-compliance of the availability requirements to the Supervisor, PS.
- Responds to inquiries and resolves concerns, from staff, vendors and service providers on scheduling and timekeeping matters as appropriate.
- Ensures that services provided meet Regional customer service standards.
- Participates in the Continuing Quality Improvement (CQI) process to identify ways to improve the PS scheduling model
WHAT WE'RE LOOKING FOR
- Successful completion of a Secondary School Diploma or approved equivalent combination of education and experience.
- Minimum two (2) years related experience scheduling and/or timekeeping for a large number of staff.
- Understanding of scheduling techniques/methods and paramedic or emergency services functions and operations including shift work, multiple locations and shift patterns.
- Timekeeping aptitude and analytical skills.
- Knowledge of and demonstrated ability in applying the rules of the collective agreements, legislation, policies and procedures and organizational best practices.
- Demonstrated ability in the Region’s core competencies with a focus on customer service.
- Intermediate skills in virtual platforms and MS Office Suite including scheduling and timekeeping software.
- Ability to pay attention to detail and to organize, prioritize and multi-task.
- Ability to work collaboratively and independently and make decisions with minimum supervision
- Ability to work well in a fast-paced environment and meet tight deadlines.
- Strong ability to develop relationships and work in a welcoming and inclusive environment, where diversity is celebrated and where everyone can develop to their full potential.
- Ability to perform scheduled activities on rotating shifts including evenings/nights, weekends, and statutory holidays.
- Ability to work outside regular business hours as required.
