We are looking for a Senior Administrative Assistant to join our Internal Client Service team — a role where you’ll provide high-level administrative support to partners, managers, and staff within the firm. This role ensures smooth office operations, manages complex scheduling, and serves as the lead coordinator for U.S. tax season activities. The position requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion.

Your role:
- Prepare and format client correspondence, proposals, engagement letters, and reports.
- Maintain organized electronic and physical filing systems for client records and firm documentation.
- Handle incoming calls, emails, and inquiries professionally and promptly.
- Assist with assembly and delivery of client tax packages, financial statements, and audit reports.
- Ensure compliance with firm standards for document retention and confidentiality.
- Coordinate e-signature processes and monitor completion of client documentation.
- Act as a point of contact for client inquiries during busy seasons.
- Schedule client appointments and manage logistics for virtual or in-person meetings.
- Support onboarding of new clients by preparing engagement materials and updating CRM systems.
- Develop and maintain a detailed tax season calendar, including key filing deadlines and internal milestones.
- Coordinate workflow between tax preparers, reviewers, and administrative staff to ensure timely completion of returns.
- Track progress of U.S. tax filings and provide weekly status updates to partners.
- Organize and oversee client document intake, ensuring completeness and accuracy.
- Manage communication templates for tax season reminders and client follow-ups.
- Assist with billing and invoice preparation as needed.
- Support internal events, training sessions, and staff meetings.
What you bring to the table:
- Minimum 5+ years of administrative experience, preferably in public accounting or professional services.
- Strong knowledge of Microsoft Office Suite and document management systems.
- Excellent organizational and time-management skills.
- Ability to prioritize tasks in a fast-paced environment.
- Strong interpersonal and communication skills.
- Familiarity with U.S. tax processes and deadlines is an asset.
