We are looking for a Rental and Events Liaison to join our school. This role will serve as the on-site point person for all after-hours activities, school events, and community rentals. This includes security and access control, student safety, greeting and supporting renters, coordinating event logistics, administrative tasks, and ensuring the facility is safe and operating smoothly in the evenings. This is a Part-Time Temporary Contract position with a start date as early as January 12, 2026 until June 30th, 2026, with the potential to extend depending on the school’s rental program needs. This role works 20 hours per week, Monday to Friday, 5:00 PM–9:00 PM, with occasional weekend shifts.

Responsibilities

  • Safeguard students, faculty, facilities and renters
  • Act as the primary greeter and point of contact for renters, families, and visitors
  • Oversee building access, key control, alarms, and general security procedures
  • Ensure safe use of all school spaces ensuring renters and visitors follow school safety policies and procedures
  • Liaise between renters and the school for all needs related to:
  • Bookings
  • Set-up and tear-down
  • Equipment or AV needs
  • Space configuration
  • Policy or facility questions
  • Support after-hours facility rentals
  • Conduct pre-rental and post-rental walk-throughs, documenting any concerns, damages, or maintenance issues
  • Update and manage the facility rental booking calendar, assisting with scheduling and availability
  • Perform facility rental administrative tasks including:
  • Preparing invoices
  • Tracking payments and deposits
  • Following up with renters
  • Maintaining rental documentation and records
  • Provide exceptional customer service
  • Training will be provided for all administrative, facility, safety and security procedures
  • Perform similar duties on occasional weekends, when required

Required qualifications

  • Must be a minimum 18 years of age
  • High school diploma or equivalent
  • A minimum of one year of previous experience in customer service, events, hospitality, or facility operations
  • Experience handling bookings, scheduling, or working in a venue setting is an asset
  • A bachelor’s degree in hospitality, event management, or a related field an asset
  • Experience working with children, youth, or in a school / education environment an asset
  • Ability to follow instructions, manage time effectively, reliable and professional and able to pay attention to detail
  • Experience with access control, security protocols, or facility supervision required
  • Basic understanding of safety procedures and incident reporting
  • Basic computer proficiency (Microsoft Office, Google Workspace, Gmail, and scheduling software)
  • Exceptional interpersonal skills
  • Ability to manage multiple tasks and prioritize effectively
  • Ability to stand for extended periods and assist with light setup (moving chairs, tables, etc.)
  • Comfortable working evenings, weekends, and holidays as needed
  • Ability to work independently, remain calm and solve problems on the spot, and follow procedures in all situations including minor incidents and emergencies
  • Understanding of safety and compliance guidelines for events
  • Standard First Aid & CPR certified or willingness to take the course
  • Completion of Basic Security Training (BST) is an asset
  • Canadian residency and legally entitled to work in Canada
  • Criminal Reference Check (including Vulnerable Sector Check to work with children)

The hiring range for this position is from $20.72 to $23.91 per hour. Candidates with strong skills and experience may be considered for a higher starting salary.
