Hiring Range: $25.96 to $31.23 per hour

Position Summary

The Residential Treatment Coordinator is responsible for supporting the non-clinical and operational functions of the Residential Treatment and Recovery Program. The role focuses on program coordination, administrative support, operational efficiency, facility coordination, client flow logistics, scheduling support, reporting, and communication between departments and community partners.

This position does not provide clinical care, medical treatment, counselling, or medical supervision. Instead, the Coordinator ensures that the operational and administrative aspects of the program run smoothly to support both staff and clients within the residential treatment environment.

Accountability

The Residential Treatment and Recovery Coordinator reports to the Senior Manager, People and Operations, with overall accountability to the Executive Director.

Key Responsibilities

Program Operations & Coordination

  • Coordinate day-to-day non-clinical operations of the Residential Treatment and Recovery Program.
  • Support admissions, room allocation, intake logistics, and discharge coordination from an operational perspective.
  • Monitor bed availability and support occupancy tracking.
  • Coordinate transportation arrangements, appointments logistics, and non-clinical client support services.
  • Assist with maintaining program schedules, calendars, and operational workflows.
  • Ensure operational processes are followed consistently across the program.

Administrative Support

  • Maintain accurate program records, reports, statistics, and operational documentation.
  • Support data collection and reporting requirements for management and funding purposes.
  • Prepare operational reports, meeting minutes, inventories, and tracking logs.
  • Assist with policy, procedure, and accreditation documentation updates.
  • Coordinate office and administrative functions for the residential program.

Staff & Operational Support

  • Support staff scheduling coordination and shift coverage tracking.
  • Assist with onboarding logistics for new staff, students, and volunteers.
  • Coordinate staff meetings, training schedules, and operational communications.
  • Support managers with operational follow-up tasks and program organization.
  • Help ensure staff compliance with organizational procedures and operational standards.

Facility & Environment Coordination

  • Coordinate non-clinical facility-related concerns including maintenance requests, supplies, equipment, and vendor coordination.
  • Monitor inventory levels and support procurement requests for program supplies.
  • Assist in maintaining a safe, clean, organized, and welcoming residential environment.
  • Support health and safety processes including incident documentation, safety inspections, and emergency preparedness coordination.

Community & Client Support Coordination

  • Act as a liaison between the residential program and community partners for non-clinical matters.
  • Support coordination with shelters, housing providers, transportation services, and community agencies.
  • Assist clients with general program information, orientation, and access to non-clinical resources.
  • Support recovery-oriented programming through operational coordination and logistical support.

Qualifications

  • Diploma or Degree in Healthcare Administration, Community Services, Business Administration, Social Services, Human Services, or a related field.
  • Minimum 2–5 years of experience in program coordination, administration, operations, residential services, or community-based programs.
  • Experience working within healthcare, mental health, addictions, supportive housing, or non-profit environments is considered an asset.
  • Strong organizational, administrative, and coordination skills.
  • Excellent communication, problem-solving, and interpersonal skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office and electronic documentation systems.
  • Knowledge of health and safety practices and operational procedures.
  • Ability to work collaboratively with interdisciplinary teams and community partners.

Working Conditions

  • Work is based on-site at the residential facility with occasional duties at outreach or partner locations or the main office.

Flexible schedule required, including participation in an on-call rotation and evening or weekend hours

Based on a broad definition of health, services and programs at Hamilton Urban Core are designed to meet the needs of the individuals, families, groups and communities in the inner city who experience barriers to accessing the health and health related services and supports they need. Growing from a small number of people coming to the Centre to an active client registration of thousands “the Core†continues to be an integral part of the downtown Hamilton mosaic.
