About the role

Under the guidance of the Manager of Hospitality, or designate, the

Administrative Assistant will be a member of the Administrative Team, responsible for the provision of overall administrative support while working within the mission, vision and values of Wing Kei.

Shift: Monday to Friday

Work Hours: 8 hours a day, 40 hours a week; occasional evenings/weekends as

needed 

THE ROLE

Key Accountabilities

  • Demonstrates, promotes and advocates the Wing Kei vision, mission and core values.
  • Creates and organizes various documents and electronic information.
  • Creates financial and statistical tools and reports using spreadsheets/ databases.
  • Manages, organizes and updates relevant data.
  • Communicates and provides information internally and externally to assist and enable organizational operations and effective service to connecting groups.
  • Applies judgment and critical thinking skills to prevent issues, manage assigned work tasks, and work within the context of principles outlined in policies and procedures.
  • Researches and investigates information to enable strategic decision-making by others.
  • Arranges and participates in meetings, conferences and project team activities, including preparing agendas, taking meeting minutes and follow-up on action items.
  • Provides support on training and professional development of staff.
  • Keeps an inventory of supplies, keeps track of expiry dates and places orders for Wing Kei.
  • Provides support in coordinating various projects to ensure a safe and healthy environment.
  • Provides general administrative support to the organization.
  • Performs other ad hoc duties and projects as assigned.

THE INDIVIDUAL WHO WILL SUCCEED

  • Is aligned with Wing Kei’s vision to continue to deliver excellence in senior care.
  • Has completed a Business Administration certificate program or equivalent.
  • Previous experience in an administrative role is preferred.
  • Is dependable, self-motivated with good time management skills and ability to prioritize work.
  • Exhibits consistent problem-solving ability as well as sound judgment and attention to detail.
  • Is an outstanding collaborator and team player; works well with interdisciplinary teams.
  • Enjoys building rapport and connecting with a diverse audience.
  • Has excellent phone and office etiquette.
  • Has good computer literacy; experience in Microsoft Office is required.
  • Communicates well in writing, speaking and presenting; ability to communicate in Cantonese or Mandarin is an asset.

Our mission is to provide extended care services and facilities to meet the physical, spiritual, social and emotional needs of seniors in a Christian environment.

Over three hundred seniors across three facilities are calling Wing Kei their home, where they receive culturally appropriate care - speaking the mother tongue, enjoying familiar foods they grew up with. Wing Kei Care Centres is fully integrated with the Alberta Health Services' continuing care program, providing long-term care, supportive living and adult day program services to all seniors in need.
