Day in the Life
This role provides essential administrative support to Electrical Operations by sourcing tenders, coordinating bid submissions, and organizing all required documentation. It acts as a central link between operations, vendors, and internal teams to ensure bids are accurate and submitted on time while also supporting day‑to‑day operational needs. By monitoring schedules, labour availability, and material coordination, the role helps maintain smooth workflows and prevents disruptions to labour, equipment, or system activities.
Responsibilities
- Prepare and manage contract documents from project initiation through completion.
- Support bidding processes, ensuring timely submissions and post-award deliverables.
- Handle pre- and post-contract tasks including quantity take-offs, supplier/subcontractor pricing, BOM comparisons, labour/equipment costing, and quotation preparation.
- Manage tender coordination, cost codes, and bid submittal requirements to reduce errors and save time.
- Verify payroll rates and hours weekly, resolving discrepancies with payroll.
- Assist with onboarding/offboarding (new hires, rehires, recalls, layoffs) and track compliance training records.
- Coordinate with HR on safety-related refunds, allowances, WSIB, and insurance compliance.
- Manage purchase orders and project-specific documentation such as shop drawings and material lists.
- Produce required project reports and compliance documentation (QC/QA).
- Liaise with owners, suppliers, engineers, and subcontractors, maintaining organized project correspondence.
- Update and maintain processes, safe work practices, and job procedures.
- Support corporate guidance and costing for tendered contracts.
- Assist Project Managers and Superintendents with project administration and field coordination.
- Manage AR/AP processes, including invoice and PO review.
- Track and organize packing slips, tickets, and procurement records.
- Maintain structured project documentation, reports, and records for project teams.
Qualifications
- Diploma or degree in Construction Management, Civil/Electrical Engineering, Business Administration, or a related field an asset
- 2+ years of experience in construction administration, estimating support, operations coordination, or a similar role within a construction or trades organization.
- Ability to quickly learn and adapt to various software platforms and other technology
- Strong organizational skills with the ability to manage multiple deadlines across pre‑contract, post‑contract, and operations workflows.
- Strong MS Office skills (Excel, Word, Outlook).
- Basic understanding of financial principles and estimating processes.
- Familiarity with reading and interpreting technical drawings.
- Understanding of basic procurement processes and best practices.
- Ability to interpret and understand contractual language.

Targeting $27-32/hr
