Overview

Reporting to the Community Manager, the Administrative Coordinator is responsible for providing leadership and direction for the daily activities of the administrative team, ensuring excellence in administrative operations and a seamless, high-quality resident and guest experience that reflects Silvera’s mixed-income brand standards. The Coordinator also contributes to sales and leasing activities, supports community marketing and communications, and develops and implements fee-for-service opportunities to achieve Silvera’s revenue metrics.

Responsibilities

Administrative and Service Experience

Provides oversight to ensure that resident and guest experiences reflect Silvera’s commitment to excellence in the mixed income communities.

Support community management in ensuring all Continuing Care Act standards and Silvera policies are adhered to.

Fosters an inclusive, respectful, and welcoming atmosphere.

Oversees the ongoing development of the reception team, emphasizing hospitality, proactive engagement, and personalized service.

Liaises between the Community Manager, residents, and guests to ensure clear communication and timely resolution of requests or concerns.

Serves as the primary contact for inquiries and special requests, to ensure all needs are met promptly and courteously.

Creates and implements resident and guest experience strategies tailored to the mixed-income portfolio.

Tracks and reports on resident and guest interactions, service feedback, and sales performance to identify trends and areas for improvement.

Monitors property conditions, including cleanliness, amenities and operations, and reports improvement opportunities.

Assists with emergencies and serves as a resource for operational support.

Other duties as assigned.

Sales & Leasing Support

Conducts tours and provides information to prospective residents and families, supporting leasing and occupancy goals.

Responds to prospective resident and family inquiries, completes move-in, transfer, and move-out processes.

Collaborates with the Leasing Enablement Lead to follow up on leads, maintain accurate suite availability reporting, report on sales performance and service trends.

Coordinates with Building Operator and Housekeeping Supervisor to ensure suite readiness and smooth suite turnover.

Communications & Community Engagement

Drafts, edits, and distributes community communications, including newsletters, notices, and resident updates.

Develops and supports internal and external social media content that highlights community life and promotes Westview Campus programs and events.

Collaborates with the Community Manager, residents, and guests to ensure clear, timely, and positive communication.

Acts as a brand ambassador during tours, events, and outreach activities.

Qualifications

Minimum 3 years’ administrative experience, preferably in housing, hospitality, or property management.

Diploma or certificate in administration or hospitality management, or equivalent experience.

Previous leadership or team coordination experience preferred.

Demonstrated ability to deliver elevated guest service and resident experiences.

Experience supporting sales, leasing including conducting tours, handling inquiries, and maintaining prospect relationships.

Intermediate proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint); knowledge of Yardi and social media platforms is an asset.

Strong organizational, communication, and relationship-building skills with attention to detail and professionalism.

Able to act with discretion, initiative, and diplomacy in managing time-sensitive and confidential matters.

Willingness to travel occasionally to support other Silvera communities as required.

Work Conditions

Combination of sitting, standing, and walking; occasional lifting up to 25 lbs.

Will be required to perform repetitive data entry/keyboard tasks.

May be required to assist with furniture setup, entrance snow removal

Potential exposure to bodily fluids and industry standard cleaning chemicals

Hours of Work

Monday to Friday, 7:30am – 4:00pm. Shift may be altered to allow for weekend and evening coverage as operationally required.
