About the position
Canada’s Extended Producer Responsibility (EPR) system operates at a provincial level, with regulations and program requirements varying across jurisdictions. Successfully managing these distinctions while aligning with national objectives is key to program success.
We are seeking a highly motivated and organized Operations Coordinator to join our Operations team! The Operations Coordinator is responsible for ensuring the accuracy and integrity of data and invoices related to recycling operations. This includes validating incoming data and service invoices, reconciling discrepancies with stakeholders and approving data entries and invoices for payment. This role maintains and updates accurate information and data in CRM and other tracking mechanisms and responds to email inquiries, provides administrative and customer support, and collaborates with internal teams and external stakeholders to ensure smooth and efficient operations.
Responsibilities:
Operational Data and Invoice Validation
- Review, validate and approve operational data entries and invoices submitted by stakeholders for collection, transportation and processing services.
- Validate incoming invoices against purchase orders, contracts, delivery/BOL and waste manifest records.
- Identify and investigate discrepancies in billing, pricing, quantities, site, service and service partner details.
- Pull service data reports as needed to confirm accuracy or identify irregularities.
- Communicate proactively with stakeholders to verify information, follow up on irregularities or make corrections to data entries and invoices.
- Respond to stakeholders in a timely manner to ensure excellent customer service and efficient processing of invoice approvals.
- Collaborate with stakeholders, operations and finance teams to resolve data mismatches.
- Maintain documentation of validation processes and issue resolution.
Administration and Reporting
- Prepare, review and ensure accuracy of weekly payment report and submit to Operations Manager for approval.
- Develop, prepare and submit weekly progress reports to Operations Manager.
- Maintain and update internal and external guidelines and procedures.
- Provide training and training materials to service partners and work with them providing clarification on the submission process of service data and invoices.
- Maintain and update service partner, site, rates, contact information etc. in CRM and ensure accuracy.
- Perform general administrative duties including data entry, document preparation, filing, and scheduling.
- Enter, update, and maintain accurate data across CRM and spreadsheets for various operational data, invoice and inventory tracking.
- Monitor and respond to internal and external emails in a professional and timely manner
- Generate routine and ad hoc reports as needed by management.
- Provide general support to the operations.
Other tasks as assigned.
What you bring
The ideal candidate will possess the following skills, experience, and qualifications:
- Post-secondary education in administration or equivalent experience.
- Minimum of 2 years in administration, invoice and data validation.
- Experience in waste management logistics and transportation documentation, is an asset.
- Experience with CRM or equivalent database administration and use.
- Clear and concise English language abilities, both written and verbal.
- Excellent communication and customer service skills.
- Excellent attention to detail to assess data/information accuracy.
- Self-starter, with a proactive approach to problem-solving and critical thinking skills.
- Ability to work well with a team and as an individual contributor.
- Accountable and responsible.
- Proficient in Microsoft Office applications (Word, PowerPoint, and Excel).
- Takes initiative, strong work ethic, can execute and gets things done.
- CRM database and ERP administration and use is an asset.
- Clear and concise English language abilities, both written and verbal.
