PRIMARY FUNCTION

As a member of the Planning Office, the Project Coordinator provides support and coordination of work related to the project management, communications, engagement and change management of various capital construction projects and initiatives supporting corporate strategy and annual corporate plans. The Project Coordinator will be required to take initiative and collaborate closely with other members of the project team, project sponsors, and key interest holders.

The Project Coordinator is responsible for providing high-level administrative support to manage the daily activities effectively and efficiently for the KHSC Planning and Redevelopment Team, ensuring its efficient operation.

RESPONSIBILITIES & DUTIES INCLUDE:

  • Under the guidance of a Project Manager, support the initiation, planning, execution, monitoring and closing of projects and initiatives led by the Planning Office.

  • Coordinate project related meetings and events, including but not limited to team calendar management, minute taking and meeting set up and coordination

  • Supports the KHSC Planning and Redevelopment Directors and Core Team.

  • Supports Directors and Project Manager Team by drafting, distributing reports, briefing notes, presentations, graphics, and correspondence. Responsible for maintaining and organizing files (paper and electronic) to ensure the smooth operation of projects.

  • Drafting and coordinating project related communications. Maintains and organizes files for ease and accessibility. Ensures that administrative procedures are followed. Recommends improvements where necessary to ensure efficient running of project. Other tasks as assigned.

  • Other project and department related tasks and activities as assigned.

BASIC QUALIFICATIONS:

  • College diploma or equivalent

  • Minimum 1 year of some practical or position related experience required

  • Project coordination and scheduling

  • Meeting and event organization

  • Communication and interest holder engagement

  • Report and document preparation

  • File and records management (electronic and paper)

  • Risk identification and issue resolution

  • Attention to detail and quality control

  • Time management and prioritization

  • Proficiency with office software and project management tools

  • Ability to work collaboratively in a team environment

  • Proven ability to attend work regularly.

  • Satisfactory criminal reference check and vulnerable sector search required.

  • OACETT membership (optional), PMP (optional), any professional designation or membership (preferred)

The applicant must be able to meet the physical demands of this position.
