The Role: As a member of our Finance Leadership Support Team at IGM, you will join a highly collaborative group dedicated to enabling senior executives to deliver strategic and operational excellence. This team thrives in a fast-paced environment, ensuring seamless coordination and execution of critical priorities while championing innovation and efficiency.

In this role, you will work closely with senior leadership and cross-functional partners to manage complex schedules, coordinate high-profile meetings and events, and support governance and reporting processes. You will also play a key role in driving digital transformation initiatives by leveraging tools such as Microsoft Copilot, Planner, and SharePoint to streamline workflows and foster a paperless, tech-forward environment.

Key Responsibilities:

Executive Support

  • Manage complex calendars, prioritize scheduling, and resolve conflicts proactively.
  • Monitor and triage executive email inboxes to ensure timely responses.

Coordinate executive travel and manage related expenses, including booking accommodations and preparing/reconciling expense reports.

Meeting & Event Coordination

  • Organize quarterly meetings, town halls, and offsite events in Winnipeg and Toronto.

  • Prepare agendas, minutes, and presentation materials for executive and team meetings.

  • Collaborate with multiple departments to ensure timely submission of documentation and reports.

Project & Process Support

  • Assist with quarterly reporting and governance approval processes.

  • Support document management, version control, and policy updates.

  • Champion digital transformation by leveraging tools like Microsoft Copilot, Planner, and SharePoint to track workflows, streamline processes, enhance efficiency, and support a paperless, tech-forward environment.

Communication

  • Draft professional correspondence, reports, and presentations for internal and external audiences.
  • Act as a liaison between senior management, administrative teams, and external vendors or contractors.

Confidentiality & Judgment

  • Handle sensitive information and critical matters with discretion and sound judgment.

Qualifications:

  • Minimum 3+ years of experience providing executive-level administrative support.

  • Post-secondary education in business or office administration (preferred).

  • Experience in financial or corporate environments considered an asset.

  • Exceptional written and verbal communication skills.

  • High integrity, professionalism, and ability to work independently with minimal supervision.

Preferred Qualifications:

  • Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word).

  • Skilled in digital collaboration tools (Planner, SharePoint, Concur).

  • Strong organizational and time management capabilities with attention to detail.

  • Ability to manage multiple priorities and meet tight deadlines.

  • Familiarity with financial statement processes, reporting cycles, and related documentation.

The expected annual base salary range for this role is $68,500- $83,000, which is determined based on skills, knowledge and experience and geographic location. In addition to base salary, this role is eligible for annual short-term incentive, health and well-being benefits, retirement and savings plan, paid time off and career development.
