Position: Accounting Administrative Clerk

Location: Hamilton, ON

Reporting to: Accounting Department (Sr. Controller)

What we are looking for:

We are seeking a detail-oriented Accounting Administrative Clerk to support daily accounting and administrative operations at our Hamilton location. The ideal candidate is organized, has strong numerical and analytical skills, and thrives in a fast-paced environment. In this role, you will ensure our accounting processes are accurate and timely while handling dealership-specific accounting functions, deal postings, reconciliations, and administrative support for the finance team.

Key Responsibilities:

  • Deal File Review & Booking

    • Ensure all deal files are complete with required documentation, signatures, deposits, and funding.
    • Book deals in CDK and process sales staff commissions, following up on any missing items with relevant team members.
  • Deal Posting & Discrepancy Resolution

    • Post all deals daily, including dealer trades, and resolve cost discrepancies in collaboration with the sales team.
  • Rebates, VDR & Reporting

    • Submit and track GM rebate forms, address rejections, and report sold vehicles to GM for accurate incentive application.
  • Commissions & Calculations

    • Calculate and revise commissions for sales representatives and F&I managers as needed.
  • Financial Support & Data Integrity

    • Support the Regional Controller in maintaining compliance with dealership processes and ensure data accuracy in financial reporting.
    • Reconcile and post daily deposits, review cheques, and address accounting inquiries.
  • General Accounting & Administrative Support

    • Assist with month/year-end closings, audits, licensing, lien payouts, dealer trade paperwork, and floorplan payment postings.
    • Maintain organized accounting files and provide timely responses to requests.
    • Perform other duties as assigned by the Senior Controller.

Qualifications:

  • Minimum 1-2 years of accounting or bookkeeping experience
  • Dealership accounting experience is required
  • CDK dealership accounting software experience is required
  • Strong computer skills including Microsoft Excel and Word
  • High degree of accuracy and attention to detail
  • Excellent organizational, time management, and problem-solving skills
  • Ability to work effectively in a fast-paced team environment
  • Post-secondary education in Accounting, Business Administration, or a related field is an asset
