Purpose

As a Sales Administrator, your primary purpose is to support the Key Account Manager through efficient administrative and customer service support. You will be responsible for managing sales orders and inquiries, ensuring the smooth execution of administrative processes, and maintaining a high standard of customer service excellence.

You will also assist with retail and wholesale accounts as needed, particularly during peak periods or colleague absences, to ensure consistent service.

This role requires strong attention to detail, excellent organizational and communication skills, proficiency with company systems, and a commitment to delivering exceptional support.

Duties and Responsibilities

Customer Service

  • Deliver outstanding customer service with a “yes-first” approach, communicating proactively and building rapport with accounts to understand and meet their business needs.
  • Respond promptly and professionally to customer inquiries via email or phone, providing accurate information on products, pricing, availability, and delivery.
  • Assist the Key Account Manager and other departments to help resolve issues that may affect customer orders.

Order Management

  • Collaborate with the Key Account Manager to provide administrative support, particularly in order processing.
  • Manage the order process, including templates, purchase orders, labels, and invoices, ensuring accuracy and timely completion.
  • Monitor the orders inbox and assist with incoming inquiries and requests.
  • Process retail payments by issuing credit card transactions in the absence of your Sales Administrator colleague.
  • Ensure all confidential customer information is securely stored and handled appropriately.

Sales and Team Support

  • Provide backup support to the Sales Team during peak periods or when colleagues are unavailable to maintain smooth operations.

  • Adapt quickly to new technology and tools to improve efficiency in daily tasks.

Preferred Skills and Capabilities

  • Completion of post-secondary education in Office Administration, Business Administration, or a related field; or 1-2 years of administrative experience as an equivalent.
  • Analytical capabilities with a strong attention to detail and a high level of accuracy.
  • Strong organizational skills, with the capability of knowing how to prioritize tasks.
  • Excellent communication and interpersonal skills.
  • Strong technical capabilities to become proficient in the company’s Enterprise Resource Planning (ERP) System.
  • Skilled in using Microsoft 365 applications such as Excel and Word.
  • Proactive with strong problem-solving abilities.
  • Understanding of sales processes with a customer-centric approach.
