Description JOB DESCRIPTION The Ontario Shores Centre for Mental Health Sciences requires an experienced full time Secretary to provide a range of administrative, secretarial, data analysis, customer service and word processing services to the Adolescent Eating Disorders Program and IHS Clinics. Ontario Shores provides a wide range of specialized, tertiary care mental health programs for inpatients and outpatients.

Key Duties And Responsibilities Responsibilities include (but are not limited to):

  • Responding to telephone inquiries, greeting patient/visitors and responding to routine inquiries
  • Coordinating and booking appointments, maintaining multiple calendars
  • Compiling statistical information and maintaining databases
  • Organizing and updating health resources
  • Composing and responding to correspondence
  • Taking and processing of minutes; ordering of office supplies
  • Making travel and accommodations arrangements, filing, sorting mail, updating resource material, photocopying
  • Liaising with community agencies and assisting with preparation for projects, workshops or conferences.

Please Note: Although this position is within the Adolescent Eating Disorders Program and Integrated Health Services Clinics, it could assist with specific tasks across Adolescent Services Portfolio.

Requirements

  • 3 years secretarial experience in a hospital or medical clinic environment.
  • Knowledge of office procedures and guidelines
  • Knowledge of Mental Health Act and Public Hospitals Act.
  • Basic to Intermediate Microsoft Office Suite computer skills and intranet knowledge.
  • Proven ability to work effectively as part of a multidisciplinary team
  • Proven excellent interpersonal skills and effective oral/written communication skills.
  • Must have excellent grammar, punctuation, spelling and proofreading skills.
  • Demonstrated excellent organizational, time management, prioritization, analytical, problem-solving, and conflict resolution skills.
  • Demonstrated planning and coordinating abilities.
  • Demonstrated ability to work with minimal supervision.
  • Ability to perform the physical demands of the position.
  • Proven good attendance record with the capability of maintaining this same standard.
  • Must be able to work flexible hours occasionally as program needs dictate.
  • Secretary/Medical Office Administration Diploma strongly preferred
  • Experience with a statistical program such as SPSS is preferred
  • Experience with managing web pages preferred
  • Experience in a mental health environment that treats adolescents and their families, preferred.
  • Experience with Meditech 6.0 strongly preferred
