Qualifications

THIS POSITION IS DESIGNATED FOR INDIGENOUS CANDIDATES. APPLICANTS MUST SELF-DECLARE ON THEIR COVER LETTER/RESUME AS INDIGENOUS (FIRST NATION, METIS AND/OR INUIT).

MINIMUM FORMAL EDUCATION/TRAINING REQUIRED:

  • Completion of a formal training program in a related discipline from a recognized institute plus four years of directly-related experience.

EXPERIENCE:

  • Experience within a post-secondary institution advancing Indigenous education is required.
  • Experience in coordinating projects and events and working collaboratively with others is required.
  • Previous administrative experience in an academic setting is preferred.
  • Experience in collaborating with Indigenous communities and educational institutions is required.
  • Strong working knowledge of university policies and procedures, understanding of the relationship between various units and decision-making bodies are strongly preferred.
  • Accounting, writing, and editorial experience is strongly preferred.
  • Previous experience with Indigenous organization is preferred.
  • An acceptable equivalent combination of education and experience may be considered.

  • Knowledge of Indigenous cultures, colonization, socio-economic issues, and importance of self-determination is required.

Key responsibilities

Responsibilities:

Administrative Assistance:

  • Responsible for the efficient executive administrative support to the Director of Cultural Integration including, but not limited to:

    • Managing schedules and meetings.
    • Arranging travel.
    • Establish and maintain appropriate files.
    • Process vacation reports.
    • Prepare and process work orders and requisitions.
    • Arrange travel and accommodations for Director and prepare, submit, reconcile and file travel expense claims.
    • Provide administrative support to assist Director to manage overall affairs of the unit.
    • Provide confidential secretarial support to the Cultural Integration department including:
    • Recording and editing meeting Minutes.
    • Following up on business arising from meeting minutes.
    • Organizing and managing event specific meetings
    • Liaise with IT Services to ensure that all computer-related issues are managed in a timely manner.
    • Management of calendar scheduling, including the coordination and prioritization of meetings, and other key events. Organize itineraries, compile, monitor, and distribute materials, and arrange for all associated logistics as required.
    • Act as the administrator for various Indigenous Cultural Integration projects. Responsibilities include: handles meeting scheduling, drafting of agenda, minutes, and follow-up to ensure that all actions and recommendations have been handled.
  • Responsible for bookings, scheduling and administrative support for a small team of Elders

  • Collect and record data related to Elders activities, assignments and requests.

  • Provides information and assistance to entire UM community regarding the processes outlined on the Cultural Integration website for providing honorariums.

  • Responsible for room bookings, food services, planning, and set-up for events.

  • Assist in the development and distribution of internal and external communications.

  • Establishes and maintains appropriate files, forms, records, databases, archival data files and distribution lists.

  • Ensures that all forms and materials passed to the Director are complete and accurate, including but not limited to payroll and financial expenses.

  • Print and verify all employee payroll authorizations using VIP.

  • Process vacation reports for all support staff.

  • Prepare and process work orders and requisitions.

  • Maintain up-to-date knowledge of systems operations and advise appropriate personnel of problems.

  • Order and maintain office supplies.

  • Manage Cultural Integration shared calendar.

  • Manage bookings and scheduling for Cultural Meeting Space.

  • Assisting when necessary, the Indigenous Culture outlook inbox and triaging to appropriate people.

  • First point of contact for all Physical plant communications, building maintenance, climate control, and caretaking issues, and at the Sweat Lodge site.

Events:

  • Assist the Director of Cultural Integration other team members with coordination of events, sessions, consultations, etc. both online and in-person,
  • Responsible for booking rooms, food services, audio-visual, and other event logistics,
  • Responsible for the logistical planning of all events including travel arrangements, reimbursement of expenses, agenda development, venue preparation,
  • Collaborate with communications team, Director of Cultural Integration on the event communication roll out.
  • Assist with coordination of Indigenous Cultural Integration events – provide any aspect of support that is required.
  • Assist with coordination of events.
  • Participate in the set-up and take-down of events.
  • Responsible for the logistical planning for all events including:
    • Travel arrangements for speakers/entertainers and reimbursement of expenses
    • Agenda development and coordination
    • Facility preparation (including venue, liaising with conference/catering, caretaking, a/v, setup etc.)
    • Collaborating with MCO on the event communication rollout process
    • Requesting honorarium payments

Human Resource Support:

  • Input, completion, and monitoring of all payroll activities for employees of the Cultural Integration including maintaining records.
  • Assist with the preparation of, and electronic submission of job descriptions, circulation of employment opportunities, and scheduling of interviews.
  • Prepare, process and track Cultural, employee vacation entitlements, step increase notifications.
  • Assist with administrative tasks of hiring, new employee onboarding documents and processes, and arranging all IT support required for Elder new hires.

Financial Support:

  • Maintain the operating budget by providing details on expenses, monthly reconciliation of all expenditures, identifying future needs/forecasts and provide reports to the Director.
  • Code and submit Requisitions for payment of expenses, petty cash, purchase requisitions and travel forms.
  • Process financial statements for university credit cards, concur expense claims.
  • Preparation, tracking and reconciliation of honoraria, travel costs, or appropriate remuneration for meeting and event attendees for Indigenous Cultural Integration.
  • Assist with and monitor budgets for Indigenous Cultural Integration teams.
  • Monitor program budgets and FOAP’s including tracking expenditures, making budget transfers, ensuring expenses are posted to proper departments on a daily basis.
  • Assists the Director in the preparation of the annual Strategic Resource Planning exercise.
  • Complete a Monthly Operating Report.

Performs other related duties as assigned:

  • Work with the Indigenous Cultural Integration to create and maintain a warm and welcoming environment.
  • Advise Director on institutional policies and procedures which may unintentionally disadvantage the Indigenous community and make recommendations for change.
  • Represent the Indigenous Cultural Integration on various and appropriate institution-wide committees as requested.
  • Represent the Indigenous Cultural Integration team at various functions throughout the year, both on and off-campus as requested.
  • May be required to perform related duties not exceeding skills and capabilities as required.
