Halifax Regional Municipality is inviting applications for the permanent, full-time position of Warranty & Returns Administrator in the Procurement division of Finance & Asset Management.

Under the direction of the Supervisor, Warranty & Returns the Warranty & Returns Administrator will carry out claims processes for goods within the Material Management warranty and returns program. The Warranty & Returns Administrator is responsible for the coordination of activities with inventory locations within HRM.
In addition to their key responsibilities, the Warranty & Returns Administrator is expected to integrate established goals and objectives, recognize the roles and responsibilities within the warranty and return processes including the application of standardized programs and practices as they carry out their work by applying appropriate purchasing processes and HRM’s standardized workflow processes. Procurement staff are expected to advocate for and demonstrate the value of public procurement; to demonstrate a high level of professional values and ethics; to apply strict compliance with confidentiality and protection of information regulations; and to integrate the mission, vision and values of the Procurement department in everyday practice.
DUTIES AND RESPONSIBILITIES:
- Identifies issues, assists in performing root cause analysis and follows appropriate mitigation strategies.
- Prepares and maintains warranty documents according to distributor and manufacturer requirements.
- Requests Return Material Authorization (RMA) numbers from manufacturers and suppliers through forms, portals or other required methods and provides all requested information.
- Coordinates returns including making arrangements for transportation and coordinating with internal inventory and distribution locations and Storesperson.
- Determines disposition for a variety of return types (e.g. damaged, inferior quality, warrantied, unwarrantable, approved return of goods) such as return or disposal.
- Provides disposition and instructions for incoming goods replacement.
- Schedules outgoing and incoming goods for the warranty and return claims process.
- Reviews and follows up on all pending claims; discuss issues raised with supplier representatives.
- Supports HRM departments with warranty claim requirements and associated processes, with the objective of making the warranty process clear to departments and maximize warranty return potential.
- Processes automotive cores, inclusive of updating core claims in HRM’s ERP systems.
- Coordinates with HRM Finance the assignment of credits from warranty and core claims.
- Assists with HRM’s Surplus Asset disposal program as required.
- This position may also be required to provide support for Emergency Management Office (EMO/EOC) operations and may perform other related duties as assigned.
QUALIFICATIONS:
Education and Experience:
- Diploma in a business or supply chain related field and one (1) year warranty related experience (an equivalent combination of education and experience will be considered).
- Experience with ERP systems with respect to Materials Management.
- Experience with fleet asset management systems.
- Technical / Job Specific Knowledge and Abilities:
- Strong analytical skills and attention to detail
- Ability to solve problems under pressure
- Comfortability and proficiency with Microsoft Office 365
Security Clearance Requirements: Applicants may be required to complete an employment security screening check.
Please note – Testing may be conducted as a component of the selection process to assess technical and job specific knowledge. Candidates who are selected for testing, may be tested in a group setting, scheduled at the employer’s discretion.

WORK STATUS: Permanent, full-time
HOURS OF WORK: Monday to Friday, 8:30am-4:30pm; 35 hours per week. Flex options to work outside of these hours and hybrid may be available.
SALARY: $30.28 per hour; level 5 as per the collective agreement between NSGEU Local 222 and HRM.
WORK LOCATION: 40 Alderney Drive, Dartmouth, NS; work at assigned Fleet locations will also be required.
