Position Summary
The Facilities Maintenance Coordinator is responsible for supporting and coordinating maintenance activities across Kaneff Golf’s five golf course properties. This role ensures that all maintenance work—building, grounds, equipment, and infrastructure—is completed safely, efficiently, and to company standards. The Coordinator will work closely with the internal maintenance team, external contractors, vendors, and leadership to schedule work, monitor quality, and provide administrative support. This role plays a key part in maintaining operational excellence, cost control, and brand standards across all Kaneff Golf locations.
Key Responsibilities
Maintenance Coordination
- Serve as the primary point of contact for all maintenance coordination across the five golf courses.
- Support the internal maintenance teams by scheduling repairs, inspections, and preventative maintenance activities.
- Coordinate with contractors for specialized work (HVAC, electrical, plumbing, irrigation, landscaping, equipment repairs, building envelope, etc.).
- Track and follow up on work orders, ensuring timely completion and aligned expectations.
Quality Assurance & Site Oversight
- Conduct regular site visits to each golf course to review completed work and ensure quality meets Kaneff Golf standards.
- Perform visual inspections of buildings, grounds, equipment, irrigation systems, and golf course infrastructure.
- Identify maintenance deficiencies and recommend corrective actions.
- Document observations and report findings to management.
Contractor & Vendor Liaison
- Liaise with existing contractors and source new vendors where required.
- Obtain quotes, review scopes of work, compare pricing, and recommend vendors for approval.
- Ensure contractors comply with site safety requirements and Kaneff standards.
- Maintain strong professional relationships with suppliers and service providers.
Administration & Invoice Management
- Review, verify, and approve contractor invoices against completed work and agreed pricing.
- Maintain accurate records of maintenance activities, contract agreements, warranties, and service histories.
- Track budget spend and flag variances or upcoming expenses.
- Assist with preparing maintenance reports for leadership.
Health, Safety & Compliance
- Support adherence to health and safety protocols across all golf courses (in coordination with HR/Health & Safety).
- Ensure contractors follow safe work practices and proper documentation requirements.
- Escalate hazards or compliance concerns to management.
Asset & Equipment Support
- Assist with asset tracking, including condition reviews, replacement planning, and preventative maintenance schedules.
- Coordinate seasonal maintenance: winterization, irrigation startup/shutdown, facility preparations, storm response, etc.
Communication & Team Support
- Maintain clear and proactive communication with golf course superintendents, managers, and internal maintenance staff.
- Provide weekly updates to leadership on active maintenance tasks, outstanding issues, and site conditions.
- Support special projects, capital projects, or renovations as required.

Reports To: Director, Commercial Real Estate
Work Environment: Combination of office-based work and regular on-site presence at all five golf courses.

- Century Pines Golf Club — 592 Westover Rd, Troy/Hamilton, ON
Compensation:
- Salary, $65k
- Comprehensive benefits eligible (Health, Dental, Life, AD&D, HSA & RRSP)
- Up to 20% performance bonus eligible
Qualifications & Experience Required
- 3–5+ years of experience in facilities coordination, property maintenance, construction coordination, or similar role.
- Strong understanding of building systems, grounds maintenance, and general trades.
- Experience working with contractors and understanding scopes, pricing, and work quality expectations.
- Valid G driver’s licence, reliable transportation (own vehicle) and willingness to travel regularly between golf course locations.
- Strong administrative skills, including documentation, budgeting, scheduling, and invoice review.
- Ability to read and interpret quotes, work orders, and maintenance documentation.
- Excellent communication and interpersonal skills with proven ability to work collaboratively.
- Experience in property management, commercial facilities, or multi-site environments.
- Knowledge of preventative maintenance systems or CMMS tools.
- Understanding of health & safety requirements and contractor compliance.
- Strong computer skills (Outlook, Excel, SharePoint, Work Order systems).
Personal Attributes
- Highly organized, detail-oriented, and proactive.
- Strong problem-solving skills with ability to troubleshoot on-site issues.
- Professional, diplomatic, and able to manage contractor relationships effectively.
- Comfortable balancing office tasks with hands-on site visits.
Travel Requirements
- Regular travel between all five golf courses.
- Mileage reimbursement provided in accordance with Kaneff Group policies.
