About the role
As a Rail Fleet Coordinator, you will manage the movement, placement, and maintenance of our fleet of railcars to ensure efficient and timely delivery of products to customers. Your goal will be to optimize railcar utilization, prevent surpluses and shortages at origins and destinations, and control costs through diligent expense management. Your success will come from working closely with logistics and commercial teams to maintain fluid operations, monitor on-hand and in-transit railcars, and ensure high asset utilization across a variety of commodities.

Your Responsibilities
- Develop and execute logistics plans to support refinery production and meet contractual obligations with customers and suppliers
- Collaborate with internal teams such as Refinery Planning, Supply & Trading, and Rail Logistics to proactively plan rail fleet movements for various commodities
- Manage rail fleet utilization by optimizing railcar usage, including diverting and storing cars when necessary to ensure cost efficiency
- Monitor changing variables and risks impacting logistics plans and implement contingency strategies to mitigate disruptions
- Resolve operational issues such as service challenges, schedule deviations, and other logistics-related problems promptly
- Maintain strong stakeholder relationships through regular communication with internal teams, external partners, and North American railways to ensure compliance with regulations
- Oversee railcar maintenance programs and budgets, coordinating with leasing companies, repair shops, and rail lines for inspections, repairs, and documentation
- Manage third-party chemical trade logistics and support propane fleet operations in partnership with Irving Energy
- Provide regular reporting on product movement status to stakeholders and facilitate sublease or trip lease arrangements when required
- Perform “on-call” duties as required
Your Skills
- Strong attention to detail
- Able to make data driven decisions quickly
- Generate reports to show KPIs so future decisions can be made with good data. This includes turn times, route analysis, expense and cost monitoring, railcar inventory management
- Learn and maintain a strong knowledge of the North American rail system
- Strong analytical skills to drive continuous improvement within our rail program
- Strong communication skills; able to understand how various parts come together for the rail program to work effectively
- Proficient with MS Office. Able to use functions in Excel such as pivot tables, VLOOKUPs, IF statements, etc.
Education And Experience
- Post-secondary education in business, logistics, or equivalent experience
- Knowledge of TDG (Transportation of Dangerous Goods) is a definite asset
- Familiarity with rail car management systems such as Transcore an asset
- Minimum 5 years of experience working in business
- Minimum 3 years of experience working in a logistics role; rail logistics preferred
- Operations experience is a definite asset
- Professional designations such as CCLP or SCMP an asset
