The successful candidate will have effective communication skills and problem-solving skills. They must also be adaptable and have the ability to pay close attention to detail. Reporting to the Associate Registrar, the successful candidate will assist Admissions and the Admissions Officers with assessing applications, responding to applicants’ queries, inputting relevant program admission data, producing admissions correspondence (through MIS system) and making changes to important external-facing documents that are used by prospects, applicants, and the general public. What you will be doing: Respond to applicants’ queries and advise prospective applicants of admission requirements with professionalism and diplomacy in person, by telephone or in writing; Conduct preliminary assessment of applications according to documented admissions requirements and refer to Admissions Officer for final admissions and offer decisions; Input admission data as required; copy and mail admission information packages, correspondence, offers of admission, and other related materials; Liaise with Program Coordinators, Deans and Academic Council to review/update program admission requirements and then work with Marketing to have updates made to college website and other promotional material; Assist with transcript and credential requests through MyCreds, including functioning as the first point of contact for client inquiries, troubleshooting, and requests. Review transcripts and credentials to ensure information is accurate by referring to written procedures/guiding documents; Coordinate and perform timely preparation, collation and distribution of all graduation documents within the college and to partner institutions for convocation ceremonies, mailing, campus pick-up or electronic release; Back up for Support Officer with administrative tasks which may include: managing calendars, visa reconciliation, travel arrangements and handling invoices; and Provide support services for the organization of events related to Admissions and the Registrar’s Office, such as campus tours, trade shows, convocation, etc. A detailed job description is available from the Human Resource Services department. What you will need to be considered: 2-year Diploma in Office Administration, Business, or a relevant/related field; Two (2) years of recent office experience in a computerized environment that requires a high level of language skills to clearly and credibly explain policies, procedures and guidelines to internal and external clients; and An in-depth knowledge/work history in a multidepartment/ complex organization, which requires interdepartmental collaboration and responsibility for multiple, concurrent processes is required.
