Education & Experience
- Grade 12
- Completion of recognized medical office assistant program and/or two (2) years' recent related experience in a clerical/administrative role or an equivalent combination of education, training and experience.
Skills And Abilities
- Ability to keyboard at 40 w.p.m.
- Knowledge of medical terminology.
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Physical ability to carry out the duties of the position.
- Ability to organize work.
- Ability to operate related equipment.

The new St. Paul’s Hospital is expected to open in 2027.

Your Day to Day
- Schedule and book inpatient, outpatient, daycare, and diagnostic appointments using computerized systems according to physician priorities and patient needs.
- Confirm appointments with patients and provide pre-appointment instructions, including preparation guidelines or payment details when required.
- Adjust bookings to accommodate cancellations, facility changes, or equipment availability to optimize scheduling.
- Greet and direct patients, visitors, and staff in a professional and welcoming manner.
- Respond to inquiries in person, by phone, or email, and relay messages to appropriate personnel promptly.
- Register and pre-register patients by collecting personal and medical information and entering data into hospital systems.
- Verify and update patient records, ensuring all required documentation is received and properly filed.
- Perform admission, discharge, and transfer duties accurately and efficiently.
- Maintain files and databases, compile basic statistics, and prepare reports as requested.
- Arrange meetings by booking rooms, preparing agendas, and recording minutes.
- Coordinate patient transportation for appointments, transfers, or emergency needs.
- Deliver and retrieve medical equipment, supplies, and other items between hospital departments and care units.
- Clean and tidy clinical equipment and workspaces following infection control procedures.
- Monitor stock levels for office and clinical supplies, submit requisitions, and restock items as needed.
- Maintain downtime kits and ensure readiness of materials and systems for emergency or outage procedures.
- Assist clinical and administrative staff with daily operations and workflow coordination.
- Orient new or relief staff to booking systems, software tools, and departmental procedures.
- Monitor shared communication channels and report staff absences or urgent needs to supervisors.
- Ensure all tasks comply with hospital policies, privacy standards, and health and safety regulations.
- Perform other related duties as assigned to support smooth patient care and department operations.
