Start Date: As Soon As Possible

Hours: Monday to Friday, 8:00am – 5:00pm

Compensation: $95,000 - $105,000 per annum

Summary:
The Contract Administrator plays a critical role in supporting the successful execution and ongoing management of new municipal and commercial contracts within the waste management industry. This position is responsible for drafting, reviewing, negotiating, and administering contracts related to collection, processing, disposal, and related services. The Contract Administrator ensures compliance with contractual obligations, mitigates risk, and acts as a key liaison between internal stakeholders and clients during contract implementation and execution phases.

Responsibilities:

  • Contract Administration & Compliance
  • Maintain an accurate repository of contracts, amendments, service schedules, and related documentation.
  • Track and manage key contract milestones, reporting requirements, renewal dates, and performance metrics.
  • Monitor compliance with service level agreements (SLAs), regulatory requirements (e.g., Ministry of the Environment), and internal policies.
  • Provide early identification of risks, non-performance, or scope change issues, and coordinate resolution with relevant teams.
  • Operational Support
  • Work with operations, fleet, finance, and procurement teams to ensure contract terms are embedded into business processes.
  • Assist in preparing client reporting packages, changing order documentation, and pricing adjustments tied to CPI or fuel indices.
  • Coordinate responses to client inquiries, audits, and contractual obligations.
  • Process Improvement & Reporting
  • Assist in standardizing contract templates and developing procedures to support growth in contract volume.
  • Provide input into continuous improvement of contract onboarding and governance frameworks.
  • Generate contract-related reports and summaries for senior management and operational leads.

Competencies & Qualifications:

  • Bachelor’s degree in Business, Law, Public Administration, or a related field; paralegal certificate or JD is considered an asset.
  • Minimum 3–5 years of experience in contract administration or procurement, preferably in waste management, construction, or public infrastructure services.
  • Working knowledge of municipal procurement processes, public tendering, and contract law.
  • Strong organizational and analytical skills with high attention to detail.
  • Effective communication skills and the ability to collaborate across functional teams and with external stakeholders.
  • Proficiency in Microsoft Office; experience with contract management software (e.g., Concord, Cobblestone, DocuSign CLM) is a plus.
  • Ability to manage multiple contracts in a fast-paced, deadline-driven environment.

Preferred Experience:

  • Involvement with large-scale municipal service contracts or RFP-based agreements.
  • Experience supporting operations during service startup for new contracts.
  • Understanding of cost structures in waste hauling, recycling, processing, and landfill operations.
