Recreation & Culture Job Type Regular Number of Positions 1 Affiliation Non-Union Compensation Range $33.02 - $35.89 Job Summary Reporting to the Supervisor of Customer Service Administration, the Customer Service Representative provides exceptional customer service, resolving the majority of client issues, complaints and requests. Communicates with facility staff, instructors and other organizational contacts to ensure customer service needs are met and all activities and functions proceed as scheduled. Promotes and facilitates the sale of Town of Ajax programs, activities, facility rentals and memberships. Performs numerous other administrative tasks in a timely manner, in adherence to Town of Ajax standards and according to Department policies and procedures.

Zone 2: Evenings and Weekends Only

The ideal candidate will be highly customer focused, organized, and a team player, with the ability to work evening and weekend shifts totaling up to 24 hours per week.

Job Duties Include

Front desk agent for all sections within the department; providing accurate response to public inquiries, creating positive first contact experiences for all users. Provide exceptional level of service to clients, receiving customer feedback, resolving complaints immediately when possible and referring others to appropriate personnel. Clearly communicate detailed information in person, electronically or by telephone regarding all Recreation programs, services and facilities in a friendly and courteous manner. Respond to numerous phone calls daily, reply to voice mails and emails promptly; monitor activeajax@ajax.ca to ensure customer service standards are met. Promote the sale of memberships and personal training through customer education on membership packages, produce membership cards, and administer preauthorized payments. Collect payment for programs, memberships, bookings, program admissions, selling tickets and other Point of Sale items. Prepare end of shift and daily cash deposits and preparing financial reporting for authorization. Verify accuracy of transactions, reports, and quality checks. Process refunds, transfers and cancelations at request of the program coordinators or supervisors. Monitor Waitlist/Cancellations binders to facilitate, process and follow through with waitlists in a timely manner as per waitlist guidelines. Monitor the general public to ensure facility rules are followed. Monitor entrance to the membership section to ensure only legitimate members enter.

Qualifications/Skills

Completion of Grade 12 High School Diploma is required. Minimum 2 years of experience working in a customer service or a municipal/community centre setting. Experience in cash handling and point of sale. Proficient computer skills in Microsoft Office (Word, Excel and Outlook). Currently hold Standard First Aid with CPR C certification. Excellent communication, interpersonal and customer service skills are required. Able to communicate with diverse groups in various situations and maintain confidentiality with sensitive matters. Able to work in a multifaceted environment, remain organized and clearly communicate requirements to team members. Able to provide a clear Criminal Reference Check, including Vulnerable Sector Search that is current (completed within the last 6 months), upon hire.

Nice to Have

Working knowledge of ActiveNet software is considered an asset.

Compensation: We offer competitive pay that reflects the responsibilities of the position. Hours of Work: Zone 2: This is a non-union position that works up to 24 hours per week. The Customer Service Representative will work rotating shifts at the Ajax Community Centre, Audley Recreation Centre and McLean Community Centre, between the hours of 4:30 p.m. to 10:30 p.m. Monday through Friday, along with every other weekend between the times of 6:45 a.m. to 9:00 p.m. Town Perks: The Town offers part-time staff access to an Employee & Family Service Program, Health & Wellness Program, Town of Ajax Fitness Centre Combo Membership and a defined benefit pension plan (OMERS pension - https://www.omers.com/).
