Monday through Thursday (34 hours per week with flexible start times)

Job Summary:

Working as a member of the Facilities team, this full-time employee plays an integral role in supporting and assisting with the day-to-day responsibilities related to the management, use and upkeep of the CFC grounds and buildings. The Facilities Assistant is also responsible for supporting the Facilities team in a variety of administrative tasks. The role also includes collaborating with other CFC departments to set up spaces for meetings, programs sessions, and events. This position requires knowledge of health and safety best practices, good communication skills and familiarity with Microsoft Office. All responsibilities are to be completed in cooperation and communication with the Coordinator, Facilities and the Director, Programs Administration & Facilities.

Responsibilities:

1. Building & Grounds Maintenance:

  • Complete daily checklists for facility operations.

  • Perform minor drywall repairs and painting (interior and exterior), coordinating with the Facilities Coordinator.

  • Clean carpets, furniture, and windows (interior once per year, exterior first-floor windows at least once per year).

  • Carry out minor electrical repairs, including replacing light bulbs, switches, and outlets.

  • Handle minor plumbing repairs, such as replacing water filters, fixing leaks, and unclogging drains.

  • Ensure buildings and grounds are free of litter, garbage bins are closed, and snow/ice are cleared from walkways and entrances.

  • Maintain smoking stations by ensuring proper disposal of waste and placement away from buildings.

2. Health & Safety:

  • Actively participate in the Health & Safety Committee.

  • Perform monthly safety inspections of building interiors and grounds, reporting concerns to the committee.

  • Address safety hazards as directed by the committee.

  • Ensure storage areas are clean, organized, and comply with H&S guidelines.

  • Organize and facilitate fire safety inspections (annual and monthly), including checking fire extinguishers, alarms, emergency lighting, exits, and hydrants.

  • Coordinate fire panel inspections and testing by SafeTech.

3. Liaise with External Contractors:

  • Oversee and ensure the quality of cleaning, landscaping, plumbing, HVAC, and snow removal services.

  • Monitor contractor work, report deficiencies, and provide access to work areas.

  • Ensure contractors submit work reports for completed jobs, shared with the Facilities team.

4. Facility Service Requirements:

  • Assist with setup and takedown for internal/external events, meetings, and sessions, including programs, grad events, and board meetings.

  • Ensure meeting rooms are properly set up per departmental specifications.

  • Support the Production team during film shoots, including setup and strike.

  • Help with office moves, reconfigurations, and setting up desks for new hires.

  • Move office furniture and boxes as requested.

5. Security System Management:

  • Issue keys/fobs/security codes for new staff using the Kantech system and Alarm.com; provide training and instructions.

  • Program fobs for residents per Programs staff instructions.

  • Provide building access to staff, residents, and guests as needed.

  • Respond promptly to any alarm alerts and resolve issues.

6. Emergency Response Assistance:

  • Help address facility-related emergencies (e.g., plumbing, HVAC, security issues).

  • Communicate with Facilities staff to arrange necessary service calls.

7. Inventory & Supplies Management:

  • Keep track of tools and supplies, maintaining an organized inventory.

  • Operate the tractor when needed, ensuring it’s in good working condition.

  • Maintain a list of furniture (e.g., desks, chairs) for meeting rooms.

  • Order supplies and update inventory regularly.

8. Administrative Duties:

  • Dispose of old furniture and equipment as directed.

  • Maintain positive relationships with staff, residents, and guests.

  • Participate in weekly departmental meetings, taking minutes and distributing them afterward.

Required Qualifications:

  • Strong team player with the ability to work independently.

  • Skilled in multitasking with attention to detail in a fast-paced environment.

  • Excellent written and verbal communication skills.

  • Self-motivated with strong problem-solving abilities.

  • Ability to organize, prioritize, and follow through on a variety of tasks.

  • Proficient with hand/power tools and comfortable lifting up to 50 lbs.

  • Familiarity with health & safety regulations and building codes is a plus.

  • Comfortable using Microsoft Word, Excel, and Outlook.
