Flexibility
- Part-time role (24 hours per week), ideally spread over 4–5 days for phone and email coverage Monday to Friday, with flexibility to support work-life balance
- Hybrid schedule, with a mix of in-office and remote work (after training and probation period)
Starting Salary Range:$35,200 - $37,760 annually, based on a part-time schedule of 24 hours per week (equivalent to approx. $28 - $30 per hour). This represents the starting base range. Final compensation may vary depending on a candidate's job-related knowledge, skills, and experience.
Over and above the base salary and benefits highlighted above, this role is also eligible for an incentive bonus of up to 10% of the annual salary.
Position Summary
Reporting to the Senior Manager, Assessments, the Specialist, Finance & Assessments provides key operational support across the Finance and Assessments departments. The role supports the maintenance of accurate Member records and the fair, transparent administration of assessment fees, including core accounts receivable activities. This role also supports the accurate processing and follow-up of assessment payments and recurring assessment cycles in accordance with established policies and controls, while providing clear communication with Members and reliable support for lawyers and notaries during the conveyancing process. As a front-line contact, the Specialist delivers exceptional customer service while upholding Tourism Whistler’s bylaws and policies.
Key Responsibilities
Member Support
- Respond to Member account inquiries in a professional, timely, and friendly manner.
- Provide assessment fee details to lawyers and notaries in support of property conveyancing.
Data & Administration
- Maintain accurate and up-to-date Member records with a high degree of attention to detail.
- Administer and process Member form submissions in accordance with established procedures.
- Monitor internal fax line and reception voicemail as required.
Legal & Bylaw Compliance
- Contribute to the fair and equitable application of Tourism Whistler bylaws and policies related to the administration of assessment fees.
- Handle confidential and sensitive information with discretion and professionalism.
Financial Operations
- Process, apply, and reconcile assessment-related payments, including cheques and electronic payments, in accordance with established procedures.
- Process monthly and annual pre-authorized payments in line with approved schedules and controls.
- Process assessment-related refund requests in accordance with policy and approval requirements.
- Support follow-up on outstanding assessment fees as part of regular accounts receivable activities.
- Apply finance charges to past-due assessment fees in accordance with bylaws and policy.
- Provide finance-related administrative support as required.
Knowledge, Skills & Responsibilities
- Strong computer skills, including MS Outlook, Word, and Excel. Ability to learn and navigate new systems.
- Experience with accounting or financial management systems.
- Working knowledge of finance and accounting principles, with an emphasis on accounts receivable and payment processing.
- Excellent written and verbal communication skills with a focus on customer service.
- Process-oriented, dynamic, and highly organized, with exceptional attention to detail and the ability to manage competing priorities.
- Strong problem-solving and collaboration skills, with the ability to adapt to evolving processes.
- Previous experience in a regulatory, legal, or financial environment (e.g., property taxation, utilities, or conveyancing) preferred.
- Ability to communicate complex fee or bylaw information clearly and diplomatically.
