About the role

Job Overview: We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team in Vaughan. The ideal candidate will be responsible for supporting daily office operations, coordinating administrative tasks, and ensuring smooth communication across departments.

Key Responsibilities:

  • Manage and coordinate daily administrative operations
  • Schedule appointments, meetings, and maintain calendars
  • Prepare reports, correspondence, and documentation
  • Maintain filing systems (digital and physical)
  • Handle incoming calls, emails, and inquiries professionally
  • Assist with data entry, invoicing, and basic bookkeeping tasks
  • Coordinate with internal teams and external clients
  • Support HR and payroll tasks as needed

Qualifications:

  • Proven experience in an administrative or coordinator role
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with QuickBooks is an asset
  • Ability to work independently and as part of a team

Requirements:

  • Must be legally eligible to work in Canada
  • Reliable transportation is required
  • Strong attention to detail and problem-solving skills

Pay: From $18.00 per hour

Ability to commute/relocate:

  • Vaughan, ON: reliably commute or plan to relocate before starting work (required)

Experience:

  • Administrative: 2 years (required)
