Reports to: Executive Information Technology Officer
Summary: Under the general direction of the Executive Information Technology Officer, the Enrolment and Information Services Manager provides leadership and expertise related to Enrollment Register Legislation, Ministry Policy and Procedure Memorandums, the Education Act, and other formal directives concerning the collection and reporting of student information.
Responsibilities
- Provide leadership and guidance related to Enrollment Register Legislation, related Ministry Policy and Procedure Memorandums, Education Act and other formal directives related to the collection and reporting of Student Information.
- Strategic planning, implementation, monitoring and continuous evaluation of the Student Information System to ensure maximum grant revenue and accurate Ministry reporting.
- Provide leadership and guidance with all OnSIS submission reporting. Plan, develop, implement, monitor, and evaluate the overall operation of the Ontario Student Information System (OnSIS) data reporting processes and OnSIS data reviews.
- Coordinate, manage and successfully implement specific data collections, reporting and quality improvement processes to effectively achieve all Ministry of Education reporting expectations and maximize grant dollars for the School Board.
- Develop, revise, and continually manage student enrolment/admissions processes to achieve deliverables on time, on budget, with a high level of accuracy.
- Collaborate with Ministry of Education personnel, School Board Officials, other school board representatives, Local Health Unit, community members, and school staff to refine enrolment registration.
- Analyze, interpret, and apply Ministry directives related to enrolment registers to maintain accuracy and adherence.
- Conduct and evaluate school enrolment compliance audits and yearly follow-ups to ensure maximum revenue generation and to ensure schools have procedural compliance.
- Prepare and present data collection or reports for various departments to assist with data-driven decisions.
- Confirm and load all reporting schedules and sections related to enrolment within the Education Finance Information System (EFIS).
- Provide leadership and direction for accurate EFIS data entry and EFIS data confirmation for grant generation.
- Develop and coordinate enrolment projections for the elementary and secondary panel; chair the Official Projected Enrolment Committees; develop enrolment estimates and revised estimates for Finance and other departments and submit those estimates to the Ministry.
- Coordinate and confirm the reporting of ESL grants, Native Studies grants, Second Language grants, class size average reports and Growing Success compliance reports within OnSIS and subsequently EFIS.
- Perform comprehensive audits of student enrollment records at assigned schools and support implementation of recommendations to ensure compliance.
- Provide supervision to the Student Information System team as they support some of the deliverables outlined above
- Other duties as assigned
Qualifications The following are the minimum requirements for this job. An equivalent combination of education and experience may also apply.
- Post-secondary diploma/degree in a related field.
- Five years of related experience.
- Demonstrated excellent interpersonal and communication skills, both written and verbal.
- Ability to lead a team, including facilitating productive meetings within your own team and within the Information Technology Services Department.
- Strong experience in Aspen SIS or any other SIS will be given preference.
- Demonstrated leadership experience in an academic or public sector environment (K-12 learning environments preferred).
- Experience with Admissions and Enrolment, specifically Ontario Enrolment Register Regulations.
- Proven leadership experience with all OnSIS submissions.
- Experience within EFIS is a definite asset.
Hours of Work: 35 hours per week
Compensation Package Details Rate of Pay : $91,989 - $107,120 per Level 7 in accordance with the Terms and Conditions of Employment for Non-Union, Management, Administrative and Supervisory Employees
