Position Overview: Reporting to the IT Asset Manager, the IT Asset Coordinator is responsible for supporting the lifecycle management of IT assets across the organization. This includes tracking, auditing, and maintaining accurate records of IT assets to ensure compliance, optimize usage, and support strategic decision-making. The role works closely with procurement, IT support, and finance teams to ensure assets are properly acquired, deployed, maintained, and retired. The coordinator plays a key role in optimizing asset utilization and supporting the organization’s IT governance framework.
Job Description: Responsibilities: IT Asset Procurement, Deployments & Reclamations
- Responsible for managing IT hardware assets including, but not limited to, laptops, desktops, mobile phones, tablets, etc.
- Assist in the tracking and management of all IT asset throughout its operating life.
- Collaborate with IT support teams to ensure timely updates to asset records during deployments and repairs.
- Coordinate the receipt, tagging, deployment, and disposal of IT equipment.
- Collaborate with vendors to manage warranty claims and repairs, ensuring timely resolution and adherence to service agreements.
- Investigate and recover dark and under-utilized devices
- Continuous Process Improvement
Mobility Management Requests & Incidents
- Manage mobile device inventory, including smartphones, tablets, and mobile hotspots, ensuring proper assignment, configuration, and return processes.
- Perform management & administration of Mobile Device Management (Intune) and Apple Business Management (ABM).
- Monitor mobile data usage across the organization, identify anomalies or overages, and work with users and vendors to resolve issues.
- Assist in managing mobile carrier accounts and plans, ensuring cost-effective usage and contract compliance.
- Analyze asset and data usage data and recommend optimized and compliant usage.
- Oversee mobile device kitting and accessory procurement
ServiceNow IT Asset Management (ITAM)
- Manage incidents & requests queue in ServiceNow
- Maintain and update IT asset records with accurate data
- Process PC, Mobile Device and accessory requests in Service Now
- Participate in the evaluation and implementation of ITIL best-practice operational processes
- Knowledge Base (KB) and Service Request (SR) creation and updates
Education & Experience:
- Post-secondary education in Information Technology, Business Administration, or a related field.
- ITIL Foundation certification or equivalent knowledge.
- 2+ years of experience in IT asset or mobile device management.
- Experience managing mobile carrier accounts and analyzing data usage trends.
- Advanced in all aspects of the MS Office applications with an emphasis in Excel, Outlook and Word
Knowledge:
- Familiarity with IT asset management tools (e.g. ServiceNow, Lansweeper) and mobile device management (MDM) platforms (e.g., Intune, Apple Business Manager).
- Knowledge of procurement, inventory control, and lifecycle management best practices.
- Working knowledge of device encryption technology, anti-virus, anti-spam, anti-malware software technologies

- Strong time management skills with the ability to manage multiple tasks and competing priorities while maintaining a strong attention to detail
- Skilled in resolving issues efficiently, maintaining professionalism under pressure, and ensuring customer satisfaction through clear communication and empathy.
