About the role
The Position The Payroll and Total Rewards Specialist is responsible for supporting the full cycle payroll activities of the Global Payroll Shared Services (GBS) team and local Total Rewards administration.
While not directly processing payroll, this position provides essential local support, expertise, and guidance on all payroll-related matters. As a local Payroll Expert, is responsible for ensuring compliance with corporate guidelines and Canadian regulations. Acts as a liaison with Finance, and serves as the point of contact for internal and external audits. The role requires a deep understanding of pension fundamentals, tax regulations, and their impact on payroll adjustments.
As a Total Rewards Specialist serves as a key support to local owner of HR solutions (Head C&B) in all areas of Total Rewards (including benefits, pension, compensation, wellness administration, analysis and reporting).
This job posting is for an existing vacant position.
Responsibilities Partnering with the Global Payroll Shared Services team as an expert resource on all payroll matters, inquiries and escalations (including pension adjustments, tax implications, and legislative changes).
- Review bi-weekly and monthly payroll prior to approval. (Requires understanding of both the HRIS (SuccessFactors) and Payroll systems (ADP))
- Monitor tax-related changes and their impact on payroll calculations.
- Advise on taxable benefits, deductions, and exemptions.
- Manage local Payroll correspondence - both incoming and outgoing mail(i.e. inactive, T4's, T2200's etc.)
- Attend regular ADP Service Request meetings, year-end and Payroll Operations calls; Serve as a contact to submit new service requests to ADP.
- Collaborate with HR and IT teams to implement system updates and improvements for streamlined processes.
- Liaise with the Finance department to reconcile payroll data, resolve discrepancies, and ensure accurate financial reporting.
Support Year-end Payroll and Benefits requirements:
- Support year-end processing, reporting functions and government filing
- Participate in bi-weekly Year-end meetings with ADP
- Provide guidance on applicable Year-end changes arising from ADP system/government changes while assessing the impact on local policies, practices, budgets, communications, etc.
- Review of draft tax slips (T4s, T4As, NR4s) before finalizations.
- Assist with preparing payroll communications (i.e. portal updates and notifications).
- Support year-end processes such as taxable benefit reporting, renewal reports, Post Retirement Benefits reporting
Compliance and Regulatory Adherence:
- Stay up-to-date with Canadian payroll laws, regulations, and guidelines to ensure compliance with federal, provincial, and local payroll requirements.
Interpret and apply guidance from the Canada Revenue Agency (CRA) accurately and provide guidance of same to GBS Payroll.
Act as the Subject Matter Expert and local point of contact for both external and internal payroll and pension audits.
- Prepare necessary documentation and provide explanations during audit processes.
As the Total Rewards Specialist
- Support the administration of all benefits programs and initiatives including analysis, billing, enrollment/annual re-enrollment, renewals, systems testing and reporting etc.
- Administration of Wellness Subsidy program
- Pension Statement mailing
- Ad Hoc support with finance and global requests.
- Support the administration and analysis of annual Compensation Planning Cycle, including preparation, testing, in-cycle and post-closure activities.
Accountable for timely and accurate processing of Purchase Orders (PO) and invoices within the human resources department
This position is based in the Burlington, Ontario office located at 5180 South Service Road and is flexible. Employees in flexible roles are required to be at the office a minimum of 50% of the time each month and must report to the office when requested and required by their Manager/Department
Requirements
- Post-secondary education in related field, Bachelor's degree preferred
- Demonstrated expertise in Canadian payroll gained through the pursuance of a recognized payroll designation and relevant payroll experience (i.e. PCP, PLP)
- 5+ years of payroll experience processing and administering benefits or similar role
- Advanced working knowledge of Payroll/HR information systems and Microsoft Excel - SuccessFactors/ADP Global View preferred
- Strong knowledge of Canadian payroll practices, standards, regulatory guidelines and tax laws
- Experience with benefits and pension administration and practices
- Excellent communication and interpersonal skills,
- Ability to prioritize and apply urgency to critical payroll demands
- Strong analytical and problem-solving skills, with a keen attention to detail
- Demonstrated ability to maintain confidentiality and use discretion
- Ability to lead systems changes and upgrades within payroll
- Bilingualism (English & French) is preferred.

The salary range for this position is from $39,750 - $53,000 Reflective of the part-time/20 hour work week. Performance, relevant experience and competency in the role will be a key factor in driving the compensation offered.
