Duties and Responsibilities:
The Student Athlete Services Coordinator leads administration of the varsity student athlete lifecycle from recruitment confirmation through graduation. This role ensures full compliance with U SPORTS, OUA, RSEQ and Carleton University regulations while advancing academic achievement, eligibility governance, financial award administration, and coordinated student athlete support within Carleton’s High Performance Sport Model.
The position serves as the departmental authority on varsity eligibility certification, academic progress monitoring, and athletic financial award administration. The position is responsible for interpreting and applying governing body regulations, coordinating eligibility documentation, supporting transfer and admissions eligibility processes, and implementing structured academic monitoring systems to promote retention and graduation success of student athletes.
Working in close partnership with Admissions, the Registrar’s Office, Academic Advising, Awards & Financial Aid, and High Performance support staff, the Coordinator ensures integrated academic, wellness, and performance supports for varsity student athletes. The role provides coordination of student-facing systems, early intervention detection processes for at-risk athletes, and compliance reporting for internal and external stakeholders.
Qualifications:
The incumbent must possess the following qualifications:
- Excellent administrative and time management skills with the ability to organize work effectively, set priorities and meet strict deadlines.
- The incumbent must have the ability to simultaneously work on several assignments with pressures of multiple demands and changing priorities.
- Possesses effective communication skills, both verbal and written.
- Possesses independent judgement to address problems and situations that arise.
- Demonstrated personal initiative and flexibility.
- Reliability, accuracy, and attention to detail are critical, along with confidentiality, tact and discretion.
- Maintains knowledge of U Sports (formerly Canadian Interuniversity Sport (U Sports)), Ontario University Association Athletics (OUA), and Réseau du sport étudiant du Québec (RSEQ) eligibility and financial awards policies and procedures.
- Maintains knowledge of university admissions, registration, housing, and financial award policies, procedures and deadlines.
- Must be familiar with the nature of a variety of sports and their required travel logistics as well as knowledge and experience with booking travel accommodations and logistics.
- Excellent working knowledge of software applications including, MS Word, Excel, Access, PowerPoint, MS Exchange, web content management systems, FAST, Formstack and BANNER, Univerus is required as well as knowledge of search engines and web search techniques.
- Due to the varsity sport schedule, the incumbent must be available to work some evenings and weekends.
Education and Experience:
The above is normally acquired through the completion of:
- The completion of a university degree.
- Five years of related experience, preferably within a university sport environment with knowledge of U Sports, Ontario University Athletics and Réseau du sport étudiant du Québec.
