Hours: Monday to Friday; 35 hours/week

Home Campus: Fennell (fully on-site)

Rate of Pay: Payband H (Starting Rate: $37.34 per hour plus 8% in lieu of vacation and benefits)

The CICE Program Specialist (PS) supports teaching and learning activities related to all initiatives and mandates of the Community Integration through Cooperative Education (CICE) program. The primary role is to assist the CICE student to maximize his/her potential in postsecondary education.

The incumbent advocates, supports and acts on behalf of the CICE student with faculty, other College students and with College wide service departments. The PS organizes and facilitates daily program services of the CICE program. The PS advises and problem solves with staff, students, parents/supports, CICE faculty, program coordinator, program support, and other college faculty/staff. The PS is responsible to make program related decisions with ongoing assessment of the risk and impact, escalating to Program Coordinator and Associate Dean when needed.

What you’ll be doing:

Provides academic, organizational and administrative services by:

  • Organizing and scheduling all Individual weekly meetings with CICE student(s), following up with any attendance, behaviour, academic performance concerns reported by part-time LFs.
  • Consulting with Learning Facilitators (LF) for AE modifications and engagement.
  • Providing academic advising and developing the path for CICE students’ areas of focus and referring to on campus supports as necessary such as student success advisors.
  • Coordinating task execution, following up to ensure task completion and evaluating ongoing task or project status.
  • Developing and creating resources to help supplement course material for outside class learning (develop study guides, workshops, review questions or project outlines).
  • Creating and implementing techniques and tools to utilize for individual/ group tutorial sessions and training the CICE team based on the best fit for each individual CICE student.
  • Mentoring LF team on Using and supporting a variety of learning strategies (including note-taking, the use of adaptive technologies, computer program/software) and setting up and assisting with the use of adaptive equipment when needed (in and out of class).
  • Identifying and applying appropriate teaching and learning principles and a variety of learning strategies (study strategies, review questions or project outlines etc.) to assist and promote CICE student learning and train LFs on individual student learning strategies.
  • Orienting and supervising placement and CSEP students each semester and collaborating with programs that request placements on campus (social work, CYC, ES).
  • Organizes and facilitates the daily program services.
  • Coordinating everyday operations of program, coaching CICE team, evaluating the effectiveness and supporting program goals.
  • Introduce new goal setting initiatives in accordance with Mohawk College policy and ministry standards.
  • Problem solving student, parent/support, college faculty, CICE faculty, community member concerns and remedy complaints, escalating to Program Coordinator and Associate Dean when needed.
  • Authorizing and distributing all program communication for purposes of marketing, intake, and transition.
  • Organizing weekly team meetings, agenda planning and leading when program coordinator is not available and organizing other events for CICE program staff.
  • Fill in for any gaps in student support and coverage when short staffed.
  • Collaborate with support staff to fill call in shifts for sick and vacation coverage.

Acts as a liaison between CICE students, college faculty and staff by:

  • Providing a smooth transition for CICE students into college/academic life.
  • Attending classes as needed with CICE student to promote smooth integration with other students and faculty.
  • Meeting with teachers to promote inclusion of CICE students in the classroom and in response to teacher requests providing teaching and learning strategies given student needs.
  • Setting up a buddy system between CICE students and other students in the class.
  • Promoting inclusion of CICE students in College social activities.
  • Weekly case management of CICE students in their caseload (monitoring emails, grades, behaviour issues, goal setting).
  • Advising CICE students in solving problems such as accessing appropriate college resources (Financial Aid, Centre for Students with Disabilities, Counseling, lockers, purchasing books, OSAP, insurance opt out, student ID, etc.).
  • Connecting students to college services to support student success and providing ongoing advocacy, guidance and support.
  • Advising other members of the CICE Team of any changes or strategies that have been implemented for CICE students.
  • Planning the transition week prior to semester start-up.
  • Maintaining current documentation of student progress using various modalities.
  • Advising scheduling officer of appropriate and requested Academic Experience courses.
  • Take the lead on Academic Experience oversight. Planning, implementing and monitoring this experience for students.

Providing classroom support:

  • Support CICE program with maintaining student records, CICE Team LMS page, etc.
  • Completing, in collaboration with Associate Dean, Coordinator, Faculty, any required documentation and forms for students in Community Studies.
  • Tracking/filing and recording program documents and other pertinent program information for future reference by staff.

Working with the CICE team, the incumbent assists with admissions by:

  • Planning, organizing, marketing, and attending /presenting at Open Houses and Program Information Nights, both in person and virtually.
  • Creating promotional videos and any other materials including program flyers, website content and presentation materials in conjunction with CICE support staff.
  • Evaluating applicant submissions, updating interview questions, rubrics and other materials and consulting with legal department when required, conducting admission interviews, consulting with coordinator when needed and selecting successful candidates.
  • Conducting student orientation/transition sessions (provide tours) and/or information sessions.
  • Following up on reference checks and ensure all required documentation required for admission is completed by the CICE student.

Assisting with the continued success of the CICE Program by:

  • Promoting the program internally to Mohawk faculty/staff, and externally to local and regional agencies, schools, employers, and/or businesses.
  • Periodically meeting with faculty to establish and review protocols and discuss new or revised approaches and practices.

Assists with the development of fieldwork placements by:

  • Recommending possible CICE student placements and employers.
  • Assist and report CICE student progress through regular team meetings.
  • Collaborating with Job Developer with identification of CICE student needs/strategies for success for placement plan.
  • Assisting with CICE student orientation to placement as required.
  • As required, attending placement with CICE student to liaise between student/site supervisor and or Job Developer and to provide learning assistance to the CICE student.

Performs other related duties as required.

What you’ll bring to the role:

  • Educational Assistant Diploma, Developmental Service Worker Diploma, Child and Youth Worker Diploma, Autism Behavioural Diploma, Social Service Worker Diploma, or an Education, Special Education or Social Science Degree.
  • Minimum five (5) years experience working with persons with significant learning challenges in an academic environment. This includes working with persons with disabilities, developmental disabilities, Autism Spectrum Disorders (ASD), mental health, significant learning disabled and brain injuries, etc.
  • Proficient in the use of computer software including adaptive technology.
  • Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
  • The ability to communicate and work effectively with diverse students, employees, and communities.
