Job Summary Under supervision, the Office Coordinator will be responsible for reception duties at the front desk such as greeting visitors, answering phones, and performing administrative duties such as depositing checks and coordinating paperwork. This position will be onsite 5 days/week in Ajax, Ontario, Canada.
Responsibilities Essential Job Duties:
- Assist with administrative duties such as depositing checks, coordinating necessary paperwork and invoicing.
- Greet clients and visitors and assist them as needed. Announce visitors to appropriate party.
- Answer incoming calls. Provide general information and direct callers to appropriate party or voicemail.
- Manage Salesperson/Broker real estate licenses.
- Order and maintain office and breakroom/kitchen supplies. May assist with office equipment issues.
- Receive mail and packages and distribute to appropriate party.
- Maintain conference room schedule. Prepare conference rooms for meetings and events, which may include straightening of the room, and coordinating audiovisual services and catering orders.
- Provide support to administrative staff when needed.
- May perform other duties as assigned.
Qualifications Skills, Education and Experience:
- High School diploma or General Education Degree (GED) required.
- Minimum two years of office experience required.
- Excellent customer service, phone etiquette and communication skills for incoming calls and visitors.
- Proficiency in Microsoft Office applications.
- Ability to prioritize and multi-task efficiently.
