The Opportunity
The Ministry of Immigration and Career Training Career Services Branch, Program and Services Management Unit is seeking qualified individuals with exceptional interpersonal and communication skills to provide branch wide support from offices located in Saskatoon (one position) and Prince Albert (one position). You will be responsible for a variety of tasks that are assigned utilizing a shared mailbox to track and manage provincial demand.
You will manage province wide branch activities that may include:
- File management, storage, and archiving in alignment with government records management requirements;
- Managing office space and maintenance needs, including preparing assets for community donations;
- Tracking and paying invoices, procuring supplies, equipment, and office furniture;
- Perform ISC Searches and set up new suppliers for payment; and
- Onboard and offboard staff by arranging new phones, granting system access, managing equipment, and setting up appropriate accounts, drive access and access/identification cards; as well as other duties as assigned.
You will have a keen attention to detail to ensure quality work and possess a proactive attitude towards the use of technology. Proficiency in the MS suite (Excel, Word, Outlook, PowerPoint), Adobe, and general office procedures and protocols is required. Knowledge of PRISM, MIDAS, Taleo, and government staffing processes, as well as basic accounting/financial principles such as payment of invoices is a strong asset.
You will plan, prioritize, and balance diverse and conflicting workload pressures, taking into consideration task complexity, frequent interruptions, privacy and confidentiality, and deadlines. In addition, you will provide information services to clients who use the services and programs of the Career Services Branch. This includes helping clients find the appropriate community resources to assist them along their path to employment and/or further education or training. You will support clients with tact and respect, helping those who may be anxious or frustrated, providing them with appropriate support.
In this role, you will be expected to work effectively independently and in a team environment. Utilizing your exceptional professionalism, interpersonal, communication, organizational, and change management skills, you will work to achieve common goals and contribute to a positive workplace. You will be approachable, collaborative, and respectful while working in a fast-paced environment with changing priorities.

Typically, the knowledge and experience required to achieve the above is obtained through a combination of formal education in business or office administration, combined with significant work experience in a business or administrative position as well as having some education and experience in providing career development services.
