Administrative Coordinator- Dean's Office, Kinesiology
About the role
The Dean's Office in the Faculty of Kinesiology is currently seeking a Full-time Temporary Relief Administrative Coordinator for approximately 13 months.
Reporting to the Manager, Academic Programs and Administration and working closely with staff in the Dean's Office, this position will provide senior administrative support to multiple faculty members in the areas of teaching, research, and service.
This Administrative Coordinator handles constant multiple conflicting and shifting priorities while working within the framework of the University of Calgary policies and procedures. It is expected to provide exceptional customer and administrative service, and the coordinator will be called upon to exercise independent judgment within established guidelines. This role offers a challenging work environment featuring high volumes and variety of work with constant interruptions and requires a high level of technical expertise in supporting teaching and research, and operations.
There will be periods of high volume with strict deadlines. The Administrative Coordinator is expected to communicate in a pleasant and professional manner with visitors, staff and students in person and by email, and complete all required tasks in a timely and effective manner.
Summary of Key Responsibilities (job functions include but are not limited to):
- Provide senior administrative support and advice to faculty members, ensuring all required tasks are tracked and completed in a timely manner
- Support the offices of the Senior Associate Dean and Associate Deans in the administration of academic processes
- Confirm funding, and prepare hiring documents for students according to AUPE & HR regulations, including hires for research labs, keeping current on collective agreements regarding salary scales etc.
- Prepare all documents for approving Adjunct Professors in faculty
- Keep detailed and current information on Postdoctoral Associates and Fellows in faculty
- Provide senior administrative support to the Kinesiology communications team as needed
- Act as back up for the Administrative Coordinator to the Senior Associate Dean
- Assist with onboarding activities for the Dean's Office as needed
- Take a leadership role in planning events on behalf of the Dean's Office, such as graduation receptions
- Handle requests for information efficiently, demonstrating judgment and discretion on confidential issues, liaising with internal and external stakeholders
- Greet visitors in a pleasant and courteous manner, answering phone and email enquiries, providing information as appropriate
- Maintain an effective and secure electronic filing system in an organized manner
- Collaborate with other Administrative Coordinators on all administrative projects and procedures
- Create and compile job aids and update procedures manuals
- Submit PER, Pcard reconciliations, travel advances, claims, expenses, etc accurately and timely
- Receive deliveries and incoming mail; distribute mail
Qualifications / Requirements:
- Completion of an office administration certificate or diploma; bachelor's degree in a related field preferred
- Minimum 5 year'sexperience supporting faculty
- Minimum 8 years' experience supporting multiple teams
- Strong written and verbal communication skills
- Excellent interpersonal skills with ability to be professional with faculty, staff, and students
- Experience in event planning, including budgets
- Ability to effectively prioritize dealing with shifting priorities and changing demands
- Proven ability to work independently using initiative and good judgment, demonstrating success in a team environment
- Strong organizational and time management skills with ability to set priorities, meet deadlines and multi-task
- Demonstrated ability to learn, improve, and implement new administrative practices
- Intermediate user of various software including MS Office, PeopleSoft
- Knowledge and understanding of a university or post-secondary environment required
- Knowledge of guidelines/procedures of national and international granting agencies preferred
