Overview
The Records & Registration Coordinator is responsible for coordinating all activities related to student academic records and registration, including determining eligibility for and conferral of academic credentials. The Records & Registration Coordinator will work closely with the Registrarial Services team, IT/ERP and system users across the University to advance and build understanding of the student record and Lakehead University's registration process. The Records & Registration Coordinator maintains student records and the various procedures employed to track and assist students during their academic careers from initial course registration through to graduation.
Responsibilities
- Responsible for the integrity and maintenance of hard copy and/or electronic student academic records; including, the timely, efficient and accurate collection, assessment, distribution, storage and disposal of student academic record information as mandated by the Records Retention Policy.
- Manages the functionality of the automated Confirmation of Enrolment process; troubleshoots; supports the evolution of the process to meet the evolving needs of students
- Serve as the Registrarial Services team liaison between Student Records and Information Technology relating to the student information system. Troubleshoot and perform complex diagnosis of system issues and resolve or liaise with Information Technology and others as needed.
- Provide training for Registrarial Services staff and Academic Units. Identifies areas of further training required by individual staff members and the team as a whole; works with the Associate Registrar to ensure the training is provided. Develops and maintains process documentation, presentations, guides, and other forms of materials to support sharing of information and training on key services/tools offered.
- Provides support on Convocation, other Registrarial Services and back-up support to Student Central as required and in consultation with the Associate Registrar.
Qualifications
- Bachelor's degree in a relevant discipline
- Minimum of 1-3 years of experience in post-secondary education
- In-depth and extensive knowledge and understanding of university regulations, policies and procedures
- Expertise in student information systems (Colleague), as well as the myServices system
- Exceptional analytical and problem-solving skills and attention to detail; ability to identify potential problems before they arise, troubleshoot system-based and social problems that may arise as a result of regulation discrepancies
- Excellent communication skills, as well as adaptability; able to interact with professionalism, empathy, tact and efficiency within a diverse population
- Consistent computer proficiency (Microsoft Office Suite, Colleague)
- Understanding of federal and provincial privacy acts and the ability to work in a tactful and confidential manner
- Working knowledge of Informer, including report generating and writing; additionally, ability to operate and implement Trusted Links, Ontario Universities' Electronic Transcript System; continual testing in preparation of the university's transition to the XML transcript delivery system
- Ability to operate consistently with little to no inaccuracies within a high volume, high stress environment
- General knowledge of the MTCU reporting and OEN generation and maintenance
