About the role

We are looking for a Project Coordinator to join our Vancouver office. In this role, you coordinate and assist with project administration, ensuring effective communication and documentation throughout the project lifecycle.

Key Responsibilities

  • Setting up projects in AJERA and PIM.
  • Writing, editing, and formatting letters, specifications, and reports in MS Word.
  • Assisting with the execution, review, and finalization of project contracts.
  • Preparing and tracking construction administration (CA) documentation, including Requests for Information (RFIs) and submittals.
  • Organizing meetings and maintaining comprehensive project files.
  • Managing client contact lists and ensuring up-to-date communication records. Printing and handling engineering drawings and specifications.
  • Assisting with document control, ensuring proper handling and distribution of project documents.
  • Supporting reception duties as needed.

Key Skills

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Bluebeam and familiarity with proposal management software such as AJERA and PIM (or equivalent).
  • Strong document control skills and attention to detail in managing project documentation.
  • Ability to handle multiple overlapping deadlines from various sources.
  • Excellent time management and task prioritization skills.
  • Ability to work collaboratively and efficiently in a team while being independent and self-sufficient.
  • Exceptional written and verbal communication skills, with a willingness to advocate for oneself.
  • Knowledge of the construction and consulting industry would be an asset.

Qualifications and Experience

  • Bachelor's degree in Marketing, Communications, Business, or related field, or equivalent experience.
  • Minimum of two years of experience in a similar role.
  • Previous experience in project coordination within an engineering context or similar industry is a plus.
