Position Summary

This position is responsible for assisting department heads at in a variety of senior administrative tasks related to the smooth functioning of the departments.

Duties & Responsibilities

  • Provides administrative support, which includes responding to questions from students and faculty, other departments and external agencies; transcribing and circulating minutes of meetings; preparing documents, reports and schedules; drafting routine correspondence; distributing mail and updating the department website.

  • Assists instructors with a variety of tasks including:

    • Providing substitute and guest instructors with the necessary information to perform their duties effectively.
    • Orienting new term instructors and assigning voice box numbers accordingly ensuring their VCC accounts are set up and keys are requisitioned.
    • Ensuring classrooms are properly equipped and furnished according to the needs of each class, liaising with Facilities as necessary.
    • Responding to environmental and equipment problems, ensuring appropriate action is taken to remedy issues.
    • Providing emergency support to instructors, ensuring students are notified of class cancellations.
    • Keeping accurate accounts of class enrolments and updating and maintaining records accordingly.
    • Coordinating field trip requisitions.
  • Constructs course timetables, exam schedules and administrative calendar with input and approval from Department Leader.

  • Books rooms for courses, seminars, exams, faculty interviews, etc.

  • Processes all financial transactions including P-card purchases, web requisitions, cheque requisitions and invoices, as well as depositing of event proceeds. Receives purchases in Banner. Monitors drawdown POs for fund balances and expiration.

  • Prepares contract requests for terms and maintains records of term workload. Prepares CUPE and Faculty timesheets and honoraria. Submits FA and CUPE absence reports.

  • Monitors activities and projects of Department Assistant and offers assistance as needed. Provides back up in his or her absence, and directs and monitors any temporary staff replacement.

  • Liaises with Marketing regarding ongoing advertising and marketing needs. Maintains annual schedule for marketing outreach.

  • Coordinates internal and external distribution of advertising materials, including posting information on electronic media. Prepares and packs promotional materials for special events. Prepares and maintains bulletin board displays in hallways and classrooms.

  • Liaises with external venues regarding rental, insurance and moving of equipment for special events. Coordinates any equipment moving with Facilities.

  • Organizes and maintains filing system. Stores/disposes of materials as per PIPA regulation.

  • Works within a noisy environment and some minor travel off campus is required.

  • Performs other related duties as required.

Qualifications

Education and Experience

  • Grade 12 plus additional specialized training of over 1 year and over 2 years’ related experience or an equivalent combination of training and experience may be substituted for the required qualifications.

Skills and Abilities

  • Proven interpersonal skills and the ability to establish positive and cooperative working relationships with students, staff, instructors and administrative personnel. Personable, patient, and able to deal with a variety of people and personalities.

  • Ability to use discretion and mature judgement in relating to people, giving out information and solving problems. Ability to maintain confidentiality regarding departmental and personnel matters.

  • Superior communication skills and an excellent command of written and spoken English.

  • Considerable knowledge of the organization, content and registration procedures of Music and Dance programs.

  • Strong organizational skills.

  • Proficiency in MS Word, Excel, Outlook, Banner and FAST, and web experience required. Minimum speed of 50 wpm.

  • Ability to work independently, under pressure and to deadlines.

  • Creative, resourceful, adaptable and solution-oriented.

Salary Range - Prorated based on FTE

PAYGRADE 23 – $31.67 to $37.06 hourly rate ($2,217 to $2,594 bi-weekly)
