Job Description
- Provide high level administrative support with discretion and diplomacy to the SVP, Global Theatre Services & Operations and as a back up to the President, IMAX Global Theatres
- Ensure smooth daily operations through effective calendar management, travel coordination, meeting preparation and anticipating needs of the SVP and President
- Manage competing priorities while maintaining strong relationships with internal and external stakeholders
What You’ll Do
- Confidentiality & Professional Discretion – demonstrates the ability to manage sensitive information with the highest level of diplomacy and discretion, exercising sound judgement when communicating and sharing information, safeguarding organizational and individual privacy at all times
- Executive Support – provide day to day administrative support to the SVP with backup support to the President, anticipating needs and proactively managing priorities
- Calendar & Meeting Management – schedule and coordinate complex meetings across time zones, ensuring appropriate materials, agendas and logistics are prepared in advance
- Travel Coordination – arrange domestic and international travel, including flights, accommodations, transportation and itineraries
- Expense Management – prepare and process expense reports accurately and promptly through Concur, ensuring compliance and company policies are adhered to
- Presentation & Materials Preparation – develop, edit, and format presentation decks, reports and other document in preparation for meetings
- Event & Conference Support – assist in planning and coordinating internal and external meetings, leadership sessions and conferences
- Communication & Liaison – act as a professional point of contact between executives, team members and key stakeholders, ensuring timely responses and clear professional communication
- Office & Information Management – maintain organized records, files, manage confidential information with discretion and support document tracking and distribution
- Continuous Improvement – identify opportunities to improve administrative processes and contribute to an efficient and collaborative work environment
Qualifications
- Post secondary diploma or degree in Business Administration, Office Administration or a related field
- 3-5 years of administrative experience supporting senior leaders or executives in a corporate environment
- Advanced skills in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Experience using Concur or similar expense and travel platforms
