The Centre for Addiction and Mental Health (CAMH) is Canada’s largest mental health teaching hospital and one of the world’s leading research centres in its field. CAMH Foundation is charged with raising and stewarding funds in support of CAMH. Its role is to help transform the way we understand and address mental illness by raising awareness and increasing engagement across the country. The Operations team (segment: Business Intelligence) is accountable for information management of our donor constituent database and supporting the CAMH Foundation to drive data-led decision-making through data analytics, data mining, data visualization, data tools, and infrastructure. In addition to our data mandate, we also lead and support project management across the Foundation. We help teams deliver strategic initiatives by providing consistent practices, tools, and guidance that bring clarity, alignment, and momentum to their work. This includes building organizational capacity for project planning, execution, and evaluation — ensuring that initiatives are delivered efficiently and in line with Foundation priorities. THE OPPORTUNITY:
The Project Coordinator is a vital contributor to the successful delivery of projects across the Foundation. Reporting to the Manager, Projects, this role supports a variety of initiatives by coordinating tasks, tracking timelines, maintaining documentation, and facilitating effective communication between teams and stakeholders.
The Project Coordinator plays a hybrid role, centrally reporting into the Operations team while being embedded within a specific functional area (e.g., Fundraising, Marketing & Operations/Finance).
KEY RESPONSIBILITIES:
Project Coordination & Execution
- Support the planning and day-to-day coordination of multiple concurrent projects, ensuring tasks are completed on time and aligned with project objectives.
- Maintain detailed project documentation, including timelines, status updates, meeting notes, action items, and project close-out materials.
- Assist in preparing project charters, schedules, and workback plans in collaboration with the Manager, Projects.
- Track milestones and deliverables, escalating risks or delays as needed to maintain momentum.
- Coordinates project major activities, such as testing, user acceptance testing, user training, and go-live preparations.
- Serve as a coordination resource embedded within a functional team (e.g., Fundraising, Marketing or Operations/Finance), ensuring project work reflects departmental priorities while maintaining alignment with centralized project standards.
Stakeholder Communication & Collaboration
- Coordinate meetings, manage calendars, and ensure relevant stakeholders are kept informed throughout the project lifecycle.
- Foster collaboration across internal teams and external partners by facilitating clear and consistent communication.
- Act as a liaison between the assigned department and the central operations team, helping translate needs and timelines across teams.
- Prepare presentation materials, dashboards, and project summaries for a variety of audiences, ensuring information is accessible and actionable.
Process & Documentation Support
- Ensure standardized project management practices are applied consistently across projects.
- Maintain organized records, project folders, and shared resources using collaborative platforms (e.g., Microsoft Teams, SharePoint).
- Contribute to lessons learned sessions and process improvements by capturing feedback and supporting documentation updates.
Tool Management & Reporting
- Utilize project management tools (e.g., Monday.com, MS Project) to manage project tracking and task assignments.
- Support the development and maintenance of project dashboards and portfolio reporting.
- Contribute to internal reporting processes by providing timely updates on progress, risks, and resource needs.
Minimum Requirements
- Post-secondary education in project management, business administration, communications, or a related field.
- 2+ years of experience in a project coordination or administrative support role, ideally in a multi-stakeholder or cross-functional environment. A combination of relevant education and experience may be considered.
- Experience supporting projects through the full lifecycle, from planning to completion.
- Familiarity with nonprofit, healthcare, or fundraising environments is an asset but not required.
- Working knowledge of project management methodologies (e.g., Waterfall, Agile, hybrid approaches).
- Proficiency with project management tools such as Monday.com, MS Project, Asana, Smartsheet etc
- Strong proficiency with Microsoft 365 tools (Teams, Outlook, Excel, Word, SharePoint, OneNote, PowerPoint).
- Experience maintaining project documentation, coordinating schedules, and tracking progress.
- Excellent organizational and time management skills; able to manage multiple priorities and deadlines.
- Strong written and verbal communication skills, with the ability to communicate clearly across teams and roles.
- Comfortable preparing reports, summaries, or presentations for various audiences, including technical and non-technical stakeholders.
- High attention to detail and a proactive, problem-solving mindset.
- Demonstrated ability to work collaboratively and build positive working relationships across departments.
- Adaptable and open to working on a wide range of project types and organizational priorities.
- Curious and resourceful, with a willingness to learn and contribute to continuous improvement initiatives.
