##Responsibilities
AMER GBTO COO Pilotage function is responsible for coordinating and managing the day-to-day operations of the AMER GBTO COO office. This covers activities such as project & portfolio management, financial management, resource, staffing and sourcing management, platform OPEX governance, as well as strategic planning.
This function also has the responsibility for coordinating with other GBTO units (e.g., EQD, MAR, CLD, FTB, etc.), CIO and chief of staffs to ensure that the most appropriate levels of COO services are provided to meet current and future GBTO management needs.
Responsibilities:
Operational Expenses Management:

Manage expenses: provide functional support to users of our booking platform and contribute to the creation of expense reports for managers.

Assist travelers with travel booking process, approvals, assigning delegates and administrators.
-
Monthly reporting of expenses to the management for the Americas region.
-
Maintain the OPEX expense reporting SG dashboard on a monthly basis: reconciling expense data and flag any anomalies.

Work in collaboration with IT teams, accounting teams and administrative assistants of our business units.

Maintain regional expense policies and governance documents and articulate changes to management.
Collaborative Learning and Engagement:

Undertake projects related to learning and development: communication campaigns, promotion of training offers, contribution to the creation and deployment of e-learning platforms and their reporting.

Monitor and report on Training expenses by sub-department and validate against budget.

Take part in career development activities if applicable: coach employees and managers, create support documents, draft communications and reporting.
Resource & Financial Management: -
Monthly headcount monitoring of actual and projected staff plan, as compared to budget.

Assist with monthly meetings with GBTO managers and Chiefs of Staff to ensure their staff plan forecast is aligned with trajectory.

Act as a back-up for other team members during PTO or busy periods.

Take the lead on monthly and adhoc deliverables (Montreal staff invoice reconciliation, Montreal Headcount declaration report, new joiner's onboarding kit, etc.).

Assist in the preparation of the annual budget exercise and forecast analysis.
A questionnaire will be provided to you in order to check your VIE (Société Générale and Business France) eligibility. For an efficient analysis of your application, please make sure to truthfully answer all the questions.
Please note that it is mandatory to provide us a formal proof of your M2 diploma validation before the assignment start date. No VIE mission will start without this document. *Grade sheets are not accepted as justification of diploma.

The VIE assignment in a nutshell
This VIE in Montreal is to begin as soon as possible, but you need to plan 3 months between your application date and the beginning of your VIE assignment. It will last 24 months.
The VIE is a specific contract, under Business France’s eligibility criteria, opened to candidates under 28 and from the member states of the European Economic Space. For further information (including your financial indemnities), please see Mon VIE-VIA Business France.
