The Role
The Administrative Assistant plays an important role in supporting the organization through the efficient and effective execution of administrative tasks. They will support the Manager, Administration with general administrative work, provide assistance to all departments, and execute administrative tasks for the HR function.
Your day-to-day

Provide ongoing administrative support across the organization, including document management, distribution of correspondence, meeting coordination, initiative support, etc.

Assist the Manager, Administration with administrative support to the Board by managing and circulating official communications and minutes, updating the resolution tracking document, and ensuring the Directors' website is updated in a timely and organized manner

Support all departments with the coordination of event and meeting logistics, including venue booking, catering arrangements, hotel reservations, ensuring appropriate meeting technology is in place, and managing all other logistical details to support seamless meeting/event execution

Assist departments with event planning and execution by providing administrative support with invitations, arranging travel, handling phone communications, assisting with event preparation, and providing onsite support to ensure smooth execution

Act as a back-up to the Finance/Office assistant on administrative tasks, including answering and directing calls, office equipment maintenance and issues, and assisting with incoming/outgoing mail and courier

Support the maintenance of the office building by acting as the liaison with the property service providers to ensure a well-maintained building

Assist the Manager, Human Resources, with HR related administrative tasks, ensuring accuracy, timeliness, and confidentiality

Develop and maintain effective working relationships within the team and across all departments

Performs other duties, as required
What you will Bring
Education & Experience
-
College diploma or certificate in office administration or related field.
-
2+ years of experience as an administrative assistant required
-
Experience coordinating meeting/event logistics
-
Experience interacting with boards of directors and knowledge of Robert’s Rules is considered an asset
-
Experience in the Ontario Agricultural industry is considered an asset
Knowledge, Skills & Abilities
- Highly organized with the ability to prioritize tasks and manage multiple responsibilities efficiently
- Accurate typing skills and a proven ability to accurately record meeting minutes and maintain meeting documentation
- Knowledge and comfort working with different types of technology and digital platforms
- Ability to communicate in a clear, professional manner, in both verbal and written formats
- Basic Knowledge of Office equipment, including Printers, copiers, scanners, postage machines, etc.
- Detail-oriented with a commitment to accuracy and quality
- Demonstrates a high level of discretion and professionalism in handling sensitive information, ensuring strict confidentiality
- Collaborative mindset and willingness to work independently and as part of a team
- Proficiency with MS Office 365 (Word, Excel, Outlook, PowerPoint etc.)
- Sound judgment, critical thinking, and integrity in all actions
