A role you will love
This role is responsible for delivering high‑quality service to shareholders and clients through the review, validation, processing, or rejection of operational documents once scanned into Workflow. These include transfer requests, account transactions, dividend reinvestment instructions, legal inquiries, issuer requests, and lost certificate documentation. As a knowledgeable and cross‑trained member of the Operations team, you will support accuracy, regulatory compliance, and timely turnaround while providing guidance and support to peers and partner teams.
Key Responsibilities
Review and verify the accuracy and completeness of transfer, legal, and transactional documentation in accordance with business rules and regulatory requirements.
- Validate transactions to determine transferable order and reject items as needed, clearly identifying deficiencies.
- Research shareholder accounts and issuer information to confirm the legitimacy of requests prior to data entry.
- Ensure transactions are completed within required regulatory and internal service standards.
- Communicate deficiencies and resolutions clearly to presenters and stakeholders.
- Maintain confidentiality and ensure sensitive information is shared only with authorized parties.
- Support volume management by assisting with tracking and monitoring outstanding items.
- Cross‑train and support team members to promote consistency and accuracy.
- Respond to inquiries across multiple channels using established tracking and follow‑up processes.
- Identify process gaps and contribute to continuous improvement initiatives.
What You Will Bring to the Role
This role requires flexibility to work a rotating schedule between 7:30 a.m. and 7:00 p.m., with overtime as required. You bring a proactive, adaptable mindset, take initiative, and are comfortable balancing shifting priorities. You are able to work both independently and collaboratively, applying sound judgment while maintaining accuracy, professionalism, and a strong client‑focused approach.
- College or university education, or an equivalent combination of education and experience.
- 2–3 years of experience in the securities or transfer agency industry.
- Knowledge of regulatory security requirements; Canadian securities experience preferred.
- Strong proficiency in Microsoft Office applications, including Excel and Outlook.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask and meet deadlines.
- High attention to detail, accuracy, and confidentiality.
- Ability to work independently while exercising sound professional judgment.
- Proactive, adaptable, and comfortable working in a fast‑paced environment.
