Department Context
The Department of Educational Studies offers graduate degree programs and administers graduate certificates and diplomas. It is one of six academic units in the Faculty of Education, and offers four degree types: Master of Education (MEd), Master of Arts (MA), Doctor of Philosophy (PhD), and Doctor of Education (EdD). The EdD program in Educational Leadership and Policy is an in-person, practice-oriented and research-based doctoral program requiring coursework, a comprehensive exam, research proposal, and full dissertation.
The EdD Program
Students in the EdD program are experienced educators with leadership and policy responsibilities in colleges and universities, business and health organizations, unions, and community groups as well as the K-12 sector. EdD students live and work in all areas of British Columbia, as well as in other Canadian provinces, and countries. A typical EdD cohort is composed of 10-15 students. The program typically admits a new cohort two out of every three years; in those years, the program receives from 40 to 70 applications. Most EdD courses are offered on weekends and during the summer, and most EdD students’ research projects involve the study of their own practices. The program is grounded in the belief that it is important for participants to engage in scholarly discourse about understanding, critiquing, and improving practice in educational settings. The academic oversight of the EdD Program is provided by the EdD Management and Admissions Committee (EMAC).
Job Description
The EdD Program Coordinator (part-time 60%) works closely with the EMAC Chair to ensure the high-quality delivery of the EdD program and its students’ successful and timely completion of the program. In consultation with the EMAC Chair, this position plans and delivers program activities and events (EdD orientations, EdD Institute, Writing Retreat, etc.). They participate in program development and ongoing evaluation, and they develop and implement marketing and alumni engagement strategies. The incumbent provides non-academic advice to students to guide them from admission through to graduation, and facilitates the connections between the students and the Department, the Faculty, and the University community and resources. As the key administrator of the EdD program, the Program Coordinator is responsible for the program budget, day-to-day operation and all internal and external communications with and about the EdD program, including with EMAC members, prospective and current students, alumni, faculty who teach in the program, the Department, and relevant units on campus.
Organizational Status
Administratively reports to the Administrative Manager in the Department and takes directions and instructions from the EMAC Chair. Works closely with EMAC members, other EDST faculty and staff, EdD students, and alumni. Liaises with the Program Manager of the Ts’’kel sub-specialization in Indigenous Educational Leadership and Resurgence in the Office of Indigenous Education and the EdD Program Manager at the Okanagan School of Education, as needed.
Work Performed
Program Development and Evaluation:
- Recommends new curricular and extracurricular topics, modules, and experiences, suggests modifications to existing courses and investigates alternative scheduling and delivery of courses, based on ongoing evaluation of the EdD Program.
- Plans and manages the annual EdD Institute to create opportunities for students to share research; in consultation with the EMAC Chair and the Head of Department, drafts the scholarly program of activities to be approved and facilitates workshops and other events during the Institute.
- Identifies, develops and implements academic writing support services for EdD students (e.g., writing retreats and online writing groups, etc.).
- Works with program faculty to develop new modules in response to student needs, and coordinates the production of the EdD online thesis modules.
- Creates and updates Canvas modules for orientation and connection between courses.
- Works with the Learning Design and Digital Innovation (LDDI) unit and faculty teaching in the EdD program to create new conent for courses using current technology, as needed.
- Keeps track of and documents all curriculum changes.
- Maintains proficiency with recent trends in EdD programs in terms of research strategies and curriculum development nationally and internationally.
- Develops and implements ongoing evaluation of the EdD program through student surveys and other appropriate methods.
- Identifies and recommends to the EMAC Chair policies and practices to support EdD students.
- Monitors other EdD programs and EdD-affiliated organizations, such as the Carnegie Project on the Education Doctorate, and advises EMAC on relevant developments in the field to keep our EdD program competitive.
Program Administration and Budgeting:
- Working with EMAC Chair and the EDST Administrative Manager, creates and manages the budget for the fiscally sound operation of the EdD program.
- Provides EMAC with budget summaries for the past year and budget proposals and updates for the current year, and advises EMAC on decisions involving budget commitments.
- Implements action plans and policies approved by EMAC, keeping the EMAC Chair informed.
- Plans and delivers program activities and events (EdD orientations, EdD Institute, Writing Retreat, etc.).
- Manages the review and evaluation of the EdD applications.
- Reviews applications for the EdD Leadership Awards and participates in the adjudication process.
- Onboards and orients faculty within and outside of EDST who are new to teaching and supervising in the EdD program.
- Responsible for the program’s day-to-day operation and its ongoing improvement.
- Serves as an EMAC member.
Marketing and Communication:
- In consultation with the EMAC Chair, develops and implements a communications and marketing plan in support of recruitment and reputation building.
- Creates professional and dynamic recruitment materials in digital and physical formats, in collaboration with the Department’s communications staff, as appropriate.
- Assesses and determines appropriate platforms and channels for program promotion, and manages dissemination of marketing and recruitment materials to attract a diverse group of individuals for each incoming cohort.
- Creates, or works with program faculty and/or the Department’s communications staff to create podcasts, blogs, and social media products to highlight the program and the research conducted by EdD students.
- Provides program information in response to EdD applicant and student inquiries.
- Plans and delivers online or in person information sessions for prospective students.
- Manages internal and external communication with and about the EdD program, including with EMAC members, prospective and current students, alumni, faculty, Department leadership, and relevant units on campus.
- Develops innovative and appropriate engagement strategies to strengthen relationships with EdD alumni.
- Reviews the UBC Calendar and EDST website and requests updates as needed.
Student Support:
- Advises EdD students on program requirements and on university resources, policies, awards and financial assistance, computer-aided research software programs that support their successful completion of the program.
- Plans and delivers online and in-person orientation for incoming students, and advises them on practical matters.
- Develops initiatives to link EdD students with the Department by identifying and creating activities that involve both faculty and students, such as the EDST Doctoral Colloquium series and EDST’s annual Research Day.
- Identifies problems and issues affecting EdD students that need attention by EMAC.
- Maintains and updates current and past student databases and listservs.
Consequence of Error/Judgement
The performance of the EdD Program Coordinator has a significant impact on the success of the EdD program. Poor performance would diminish the program’s ability to fulfill its obligations and result in EdD students and alumni being less likely to connect with the Department and each other. The Coordinator keeps the EMAC Chair informed through ongoing communication. Effective management of the program budget and its enrolment is critical to ensure the program’s financial sustainability. Errors, incorrect work or decision, or poor judgement could result in lost opportunities, damage to the reputation of the recruitment/retention activities, or other serious disruptions to engagement.
Supervision Received
Administratively reporting to the Administrative Manager, this position works closely and on a daily basis with the EMAC Chair, under general direction of the Head. This position is granted broad latitude and autonomy in fulfilling the duties of the position as outlined above, and is responsible for recommending and implementing EMAC-approved policy in areas of responsibility, as outlined.
Supervision Given
May occasionally supervise clerical staff and student assistants supporting the EdD Program, as required.

- Demonstrated experience in educational programming and in the creation of online educational resources.
- Formal training or experience in program evaluation is an asset.
- Strong organizational, planning, budgeting, time-management, and problem-solving skills.
- Proven ability to work both independently and within a team environment.
- Excellent oral and written communication in English.
