About the role
As the administrative assistant for three departments, including Expertise, Products and Advanced Markets, you play a key role in supporting business development managers and sales leadership teams. You help improve the efficiency of business operations by providing strong administrative, operational and organizational support. You facilitate logistics management, information flow, the production of reports and cross-sector collaboration. You coordinate multiple initiatives and projects simultaneously in a bilingual environment and interact regularly with internal partners at various levels of the organization. More specifically, you will be required to:
- Provide administrative support to managers by managing and tracking their calendars, calls and emails. Ensure information is prioritized, processed and shared effectively in accordance with established guidelines.
- Help plan logistics for various events, including team meetings, committee meetings, travel, in-person and virtual meetings and recognition activities.
- Perform various administrative duties related to internal management, such as tracking expense reports, preparing agendas, keeping documents up to date, tracking key operational indicators, onboarding and offboarding employees and consultants, and coordinating consultant-specific administrative processes. Administer and update the organization chart, contact lists, mandatory training follow-ups and shared communication channels.
- Prepare for and provide support for meetings, including management committee meetings, take minutes and follow up on related actions and decisions.
- Prepare, consolidate and issue operational and financial monitoring reports to stakeholders.
- Serve as a liaison between the management team, sales teams, internal partners and support functions, while handling requests quickly and efficiently.
- Support operational and administrative projects, from the planning phase to execution and follow-up.
- Carry out various secretarial tasks, including writing, formatting, updating, producing and revising documents from different sectors.

What you bring to the table
- Trade school diploma in a related field
- A minimum of three years of relevant experience
- Please note that other combinations of qualifications and relevant experience may be considered
- Knowledge of French is required
- Advanced proficiency of English due to the nature of the duties or work tools or because the position involves interactions with English-speaking partners, members and/or clients
- Advanced intermediate proficiency with the Office 365 suite, including Outlook, Word and PowerPoint
