Are you an organized and reliable administrative professional with a knack for accuracy and excellent customer service? The City of Edmonton's Parks and Roads Services is looking for a Clerk II to join the Infrastructure Operations/Infrastructure Maintenance team as an Administrative Support Clerk - District Operations. You will be essential in supporting the ongoing operations of our district, primarily focusing on accurate time and materials entry for field crews. This role is vital for keeping our business running smoothly and efficiently, ensuring our actions exemplify the City’s Cultural Commitments of being Safe, Helpful, Accountable, Integrated, and Excellent.

Reporting to the Administrative Lead - District Operations, your main responsibility will be the accurate and efficient entry of time and materials for field crews and equipment usage into systems like SAP and PeopleSoft. This includes reviewing and correcting any deficiencies in time entry codes and running audit reports. Secondary responsibilities involve providing reception and clerical support, which includes greeting visitors, managing incoming calls and mail, and maintaining office security. You will also handle various administrative tasks and inquiries, such as monitoring two-way communications systems (radio operations) to maintain contact with field staff, processing action requests, and providing general administrative support to the business area. Success in this role requires managing the complexities of corporate policies and systems while coordinating work across different areas.

What will you do?

  • Accurately and efficiently input crew time, materials (e.g., asphalt, sand, forestry materials, etc.), and equipment usage into SAP/PeopleSoft (approximately 70% of your time)
  • Review, verify, and correct time entry codes for errors and run necessary audit reports
  • Provide reception and clerical support (approximately 20% of your time), including answering and screening phone calls, directing visitors, processing mail, and assisting with office equipment
  • Monitor two-way communications systems (radio operations) to maintain contact with field staff regarding equipment and public inquiries.
  • Determine the priority of incoming inquiries/concerns, processing action requests, and ensuring timely responses
  • Provide administrative support (10% of your time) for the business area, including Safety Data entry, Posse inquiries, SAP 311 Notifications/CRM Tickets, staff onboarding/offboarding assistance, and organizing meetings

Qualifications:

  • High School Diploma, including business subjects with an emphasis on general office practices, OR completion of an office administration certificate
  • Two (2) years of progressively responsible, related administrative experience

Assets:

  • Experience or strong knowledge of software and databases, including Google Products, SAP, POSSE, and PeopleSoft
  • Knowledge of the City of Edmonton's corporate policies (e.g., Procurement, HR) and internal operations procedures

Skills required for success:

  • Excellent verbal and written communication skills
  • Strong focus on excellent customer service
  • Excellent skills with grammar, punctuation, and spelling, ensuring a high level of accuracy and adherence to City of Edmonton formats
  • Excellent time management and the proven ability to plan, coordinate work assignments, and effectively handle sensitive information using discretion
  • Ability to make decisions regarding day-to-day work priorities within established guidelines and Standard Operating Procedures (SOPs)
  • Ability to establish and maintain effective working relationships with collaborators, balancing competing requirements within various units

Work Environment:

  • Note: This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement, and the incumbent will be notified in advance
  • This position primarily operates in an office environment. The role requires physical demands typical of office work, such as sitting, standing, walking, manual dexterity, and visual acuity. It involves Light Effort activities, which may include reaching and lifting up to 20 lbs

Salary Range: $24.441 - $30.346 (Hourly); $51,032.81 - $63,362.45 (Annually)
