About the Role

Our client is seeking a motivated and highly organized Construction Operations Administrator / Coordinator to support our day-to-day construction operations.

This role works closely with clients, field teams, Field Supervisors, and internal departments including Operations, Finance, HR, and Leadership to support communication, scheduling, documentation, systems, and project coordination.

This is an excellent opportunity for someone looking to build a career in construction operations within a growing company, with opportunities for increased responsibility over time.

We are looking for someone who is organized, proactive, accountable, solutions-oriented, and detail-oriented, with strong follow-through and communication skills.

This role operates in a fast-paced construction environment where priorities may shift. Flexibility, initiative, professionalism, and strong communication are essential.

The ideal candidate enjoys problem-solving, takes ownership of responsibilities, communicates effectively, asks questions when clarity is needed, and wants to grow alongside a supportive team.

Key Responsibilities

Client Communication & Coordination

Maintain professional communication with clients through required channels Coordinate information flow between clients and internal teams Respond to inquiries and ensure appropriate follow-up Support positive client relationships through clear, professional, and timely communication

Project Coordination & Operational Support

Maintain accurate project records and documentation Track deadlines, milestones, action items, and follow-ups Assist with scheduling, calendar coordination, and internal reporting Support workflow coordination alongside Field Supervisors and operations teams Identify operational challenges and escalate issues appropriately Help ensure strong communication and alignment between field and office operations Collaborate with Operations, HR, Finance, and Leadership to support staffing coordination, documentation, reporting, approvals, and administrative processes

Systems, Software & Administrative Support

Maintain and update internal systems, records, and procedures Support project management software and ensure data accuracy Assist with inventory tracking and related documentation Help improve administrative efficiency and operational organization

Documentation & Compliance

Collect, organize, and maintain project documentation Track safety paperwork, certifications, and training records Support compliance with company policies, procedures, and SOPs

Initiative, Ownership & Continuous Improvement

Take ownership of assigned responsibilities and ensure timely completion Maintain strong follow-through with minimal reminders Identify communication gaps or process inefficiencies and recommend practical improvements Contribute to a proactive, solutions-oriented, and team-focused culture

What Success Looks Like in This Role

Staying organized and keeping project information accurate and up to date Following through on tasks accurately and on time with minimal reminders Communicating professionally with clients and internal teams Identifying issues early, asking questions, and helping improve workflows

Qualifications, Education & Experience

Diploma or Bachelor’s degree in Business, Construction Management, Project Management, or a related field preferred 1–2 years of relevant experience preferred (co-op or internship experience considered an asset) Experience in construction, trades, administration, project coordination, or customer service is an asset Experience working in a fast-paced environment with changing priorities is considered an asset
