Job Description:

Position Purpose summary:

The Office Assistant provides support during the Christmas season on a temporary basis.

RESPONSIBILITIES AND ACCOUNTABILITIES:

  • Performs general office duties such as filing, photocopying, and reception responsibilities.
  • Performs various bookkeeping duties such as receipting and deposits.
  • Maintains Kettle preparation (ensuring kettle kits are stocked and ready).
  • Maintains Kettle counting process, ensuring supplies are ready and needs are addressed.
  • Handles and ensures the protection of extremely confidential and sensitive client and/or program files and information.
  • Maintains databases as needed, including data entry.
  • Represents The Salvation Army in a positive, professional manner.
  • Performs other duties as assigned.

NOTE: Not all incumbents perform all of the duties described above but perform a similar range of duties.

CRITICAL RELATIONSHIP MANAGEMENT

Governance Boards and Councils: N/A

Internal: Management Team, Community Engagement/Volunteer, various internal Planning Committees

External: External partners and donors

MANAGERIAL RESPONSIBILITY:

  • Reports directly to the Corps Officer – Integrated Mission
  • Direct reports: None

WORKING CONDITIONS:

  • Serves in an office environment within a busy CFS ministry. The location of work may create a possibility of experiencing the following disagreeable conditions:
    • angry/abusive people and verbal abuse,
    • minor risk of harm, injury, illness due to physical attacks from others and/or exposure to infectious diseases.
  • This is a temporary position.
  • Shifts may include days, afternoons, and evening shifts, Monday through Friday, flexibility in scheduling is required.
  • The Supervisor will set the hours of work and work schedule.
  • Ability to lift/move up to 10 lbs. (4.5 kgs) in a safe manner.

HEALTH & SAFETY:

  • Required to complete general orientation, including safety in the workplace training.

EDUCATION AND EXPERIENCE QUALIFICATIONS:

  • The successful candidate will have completed high school.

Required Skills/Knowledge:

  • A minimum of one (1) year of prior related experience working in community-based programs would be a definite asset.
  • Strong skills in all Microsoft Office products and good working knowledge and experience with email and internet-based programs

  • Good organization, strong oral and written communication, and interpersonal skills
  • Self-motivated and disciplined
  • Participate as an active and responsible team member.
  • Ability to represent the organization in a professional and engaging manner.
  • Attention to detail, problem solving and analytical skills
  • Ability to work with little supervision but also able to accept direction when necessary.
  • Maintain information in confidence as required.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
  • Treat the property of The Salvation Army with due care and caution.
  • Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check screening.
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.

Compensation:

The target hiring range for this position is $17.85 to $20.64 with a maximum of $24.77.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
