Description

iA Financial Group is seeking an Administrative Assistant to join its iA Auto team within the Legal Services department. Reporting to the Director of iA Auto, you will be responsible for providing administrative support to the team located in both Vancouver and Québec City, while working closely with the other administrative assistants in the Legal Services department.

Main Responsibilities

  • Provide versatile administrative support to the team, including document management and file tracking.
  • Draft, review, and format various documents: contracts, correspondence, presentations, and reports.
  • Translate and review documents using specialized tools.
  • Actively participate in the continuous improvement of administrative processes.
  • Ensure the opening and filing of records.
  • Manage invoice payments and expense reports.
  • Coordinate business travel and reservations.
  • Organize team meetings, training sessions, and internal events.
  • Produce various reports, including budget tracking.
  • Collaborate with other administrative assistants in Legal Services to meet the cross-functional needs of the team.

Desired Profile

  • Excellent command of French and English, both spoken and written, due to regular interactions with French- and English-speaking colleagues and internal and external partners across Canada and the United States.
  • Diploma in secretarial studies (DEP) or equivalent, with 3 years of relevant experience.
  • Strong knowledge of Microsoft 365 suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
  • Ability to manage multiple priorities simultaneously in a constantly evolving environment.
  • Proactivity and a solution-oriented approach.
  • Initiative, autonomy, and resourcefulness.
  • Positive attitude and strong collaborative spirit.
  • Flexibility and openness to change.
  • Comfort with digital tools and a strong interest in continuous learning.

Compensation:

The typical hiring range for this position is from $55,000 to $65,000 per annum; the base pay offered is based on location and may vary depending on skills, job-related knowledge, experience, and internal equity.
