Position Summary

Jericho Tennis Club is seeking an energetic, organized, and highly engaged Events Manager to lead the planning, coordination, and execution of Club-wide events. This role is responsible for creating memorable member experiences across all areas of the Club, including tennis, squash, athletics, food and beverage, social programming, family events, beach and outdoor programming, seasonal celebrations, and signature Club events.

The Events Manager is not only a planner, but a visible event leader. This person is expected to be present before, during, and after events to guide teams, solve problems, support service excellence, and ensure that each event feels welcoming, professional, polished, and fun.

The successful candidate will bring strong project management skills, calm leadership under pressure, creativity, commercial awareness, and the ability to inspire staff and members alike. They will review the Club’s existing event calendar, identify opportunities for improvement, introduce fresh ideas, and help create “can’t miss” experiences that build member excitement, strengthen community, support inclusivity, and drive revenue.

Key Responsibilities

Event Planning and Strategy

Plan, coordinate, and execute small, medium, and large-scale Club events, ranging from intimate gatherings to major events of up to approximately 600 attendees.

Contribute to annual and seasonal events calendar in collaboration with the Director of Food & Beverage, General Manager, athletics leaders, membership and marketing, facilities, and other department heads.

Review the current roster of Club events and identify opportunities to improve attendance, member engagement, operational efficiency, and financial performance.

Create new event concepts that appeal to different demographics, including families, young professionals, long-standing members, newer members, racquet-sport participants, fitness users, and social members.

Develop events that foster belonging, inclusion, and participation across the membership, consistent with Jericho’s stated commitment to community.

Build “FOMO” moments through creative programming, thoughtful event design, strong communication, and memorable member experiences.

Ensure each event has a clear purpose, target audience, budget, staffing plan, communication plan, and success measure.

Event Execution and Leadership

Act as the on-site event lead for Club events, providing calm, confident direction to staff before, during, and after events.

Lead pre-event briefings, clarify roles and responsibilities, identify risk points, and ensure all departments understand the event plan.

Coordinate event set-up, timing, service flow, member arrival, food and beverage service, entertainment, activities, clean-up, and post-event reset.

Work closely with food and beverage, kitchen, facilities, reception, athletics, aquatics, racquets, housekeeping, and management teams to ensure smooth execution.

Support team members during busy or high-pressure moments with patience, clarity, and positivity.

Make real-time decisions during events to protect the member experience, staff experience, safety, and operational standards.

Be firm when required to maintain standards, timelines, safety, and professionalism, while otherwise bringing warmth, energy, and fun to the event environment.

Member Experience and Engagement

Create events that feel welcoming, inclusive, well-organized, and aligned with Jericho’s private-club culture.

Build relationships with members to understand their interests, preferences, and feedback.

Use member feedback, attendance trends, demographics, and financial results to refine the events calendar.

Partner with Membership and Marketing to promote events effectively and generate excitement.

Identify opportunities to connect members across departments and interests, such as tennis-to-social events, squash mixers, athletics challenges, family beach days, wine dinners, outdoor summer events, wellness programming, tournaments, and seasonal celebrations.

Help ensure events support both long-standing Club traditions and fresh programming for evolving member needs.

Financial and Revenue Responsibilities

Prepare event budgets, cost estimates, pricing recommendations, and revenue projections.

Monitor event profitability, labour requirements, food and beverage costs, vendor costs, and other expenses.

Recommend revenue-driving event opportunities while balancing member value and Club culture.

Track attendance, cancellations, revenue, expenses, member feedback, and operational lessons learned.

Work with the Director of Food & Beverage to identify which events should be revenue-generating, break-even, member-value focused, or strategically subsidized.

Support private events, member events, internal events, and Club-wide special functions as required.

Cross-Department Coordination

Serve as the central coordinator for Club-wide event planning and execution.

Ensure all departments receive timely event information, including event orders, floor plans, staffing needs, timing, guest counts, dietary considerations, equipment needs, and special instructions.

Coordinate with Facilities regarding set-up, tear-down, traffic flow, furniture, signage, outdoor areas, weather contingencies, and safety considerations.

Team Leadership

Lead event staff through clear communication, strong organization, and visible support.

Create a positive, respectful event culture where employees understand expectations and feel supported to deliver excellent service.

Coach team members in event standards, service flow, timing, member interaction, and problem-solving.

Help identify training needs related to event service and execution.

Address performance or conduct concerns respectfully and promptly in partnership with the Director of Food & Beverage and Human Resources, following Jericho’s progressive discipline approach where required.

Model professionalism, accountability, teamwork, and composure.

Safety, Compliance, and Risk Management

Ensure events are planned and delivered in a manner that supports employee, member, and guest safety.

Complete event risk assessments where appropriate, especially for large events, outdoor events, alcohol service, beach or pool-adjacent events, late-night events, weather-dependent events, or events involving children and families.

Qualifications

Required

  • Minimum 3–5 years of event planning, hospitality, club, hotel, restaurant, recreation, catering, or member-service experience.
  • Experience leading events in real time, not only planning them administratively.
  • Strong project management, organization, time management, and communication skills.
  • Proven ability to coordinate multiple departments and competing priorities.
  • Experience managing event budgets, timelines, staffing plans, and vendor relationships.
  • Ability to lead calmly under pressure and make sound decisions during live events.
  • Strong service mindset and comfort working in a high-expectation member environment.
  • Ability to work evenings, weekends, holidays, and irregular hours based on event needs.
  • Strong computer skills, including event documentation, spreadsheets, email communication, and event planning tools.
  • Knowledge of food and beverage operations, service flow, and event logistics.

Preferred

  • Experience in a private club, racquet club, yacht club, golf club, hotel, resort, or high-volume hospitality environment.
  • Experience designing member engagement events or demographic-specific programming.
  • Experience with Jonas, event management software, POS systems, or club management systems.
  • Serving It Right certification, or willingness to obtain.
  • First Aid certification, or willingness to obtain.
  • Experience with inclusive programming, family events, sport-social events, and revenue-generating events.

Working Conditions

This role requires a flexible schedule, including evenings, weekends, holidays, and extended hours during major Club events.

The Events Manager will work in office, restaurant, clubhouse, athletic, outdoor, beach, pool-adjacent, and event environments.

The role may involve standing for long periods, walking throughout the property, lifting or moving light event materials, coordinating with multiple departments, and responding quickly to changing event conditions.

Where extended hours, statutory holidays, lieu time, or overtime may apply, scheduling and compensation must follow BC employment standards, employment contracts, Club policies, and any applicable Collective Agreement requirements. Jericho’s lieu time policy notes that discretionary lieu time may be granted to salaried staff for pre-approved additional hours such as weekend events, evening coverage, or emergencies, but must be tracked and approved.
